About This Role:
About the RoleThe Talent Acquisition Coordinator serves as a key operational partner to recruiters, hiring managers, candidates, and cross-functional stakeholders throughout the recruitment lifecycle. This role is responsible for ensuring a seamless candidate experience by coordinating interviews, facilitating background screening activities, supporting onboarding processes, and maintaining recruiting data integrity. The coordinator acts as the primary point of contact for recruiters, ensuring timely execution of hiring activities and adherence to service level agreements.
Key ResponsibilitiesInterview Coordination and Candidate Management- Serve as the primary operational point of contact for recruiters throughout the recruitment process.
- Coordinate and schedule candidate interviews across multiple time zones and teams.
- Manage interview logistics, including virtual meeting links, onsite interview arrangements, panel schedules, and candidate communications.
- Ensure candidates receive timely updates regarding interview schedules, status changes, and next steps.
- Partner closely with recruiters and hiring managers to resolve scheduling conflicts and expedite interview processes.
- Maintain a positive candidate experience by providing professional, responsive, and timely communication.
- Initiate and monitor pre-employment background screening processes.
- Coordinate with background screening vendors and internal stakeholders to ensure timely completion of checks.
- Review screening reports and escalate discrepancies or issues to recruiters and appropriate teams.
- Track candidate compliance with required pre-employment documentation and employment eligibility requirements.
- Maintain confidentiality and ensure compliance with applicable employment and data privacy regulations.
- Prepare and process offer letters and employment-related documentation.
- Support recruiters in managing offer approvals and offer delivery activities.
- Monitor offer acceptance status and facilitate communication between candidates and recruiters.
- Ensure candidate records and hiring documentation are accurately maintained within the Applicant Tracking System (ATS).
- Manage onboarding activities from offer acceptance through employee start date.
- Coordinate new hire requirements, documentation collection, and onboarding milestones.
- Partner with HR Operations, IT, Facilities, and hiring managers to ensure onboarding readiness.
- Track completion of onboarding tasks and proactively address delays or missing requirements.
- Provide new hires with onboarding guidance and support throughout their pre-start experience.
- Maintain accurate candidate and requisition data within Workday and other recruiting systems.
- Monitor recruiting workflow statuses and ensure data integrity throughout the hiring process.
- Support audits and compliance reviews by maintaining accurate hiring documentation.
- Build strong working relationships with recruiters, hiring managers, HR Operations, and candidates.
- Act as a trusted advisor and operational support partner for Talent Acquisition teams.
- Support recruitment initiatives, process improvement projects, and system enhancements.
- Identify opportunities to improve efficiencies, candidate experience, and hiring outcomes.
- High School Diploma or equivalent required; Bachelor's degree preferred.
- 2-3 years of experience in Talent Acquisition Coordination, HR Operations, Recruiting Operations, or a related administrative role.
- Experience supporting interview scheduling, background screening, and onboarding activities.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and commitment to data accuracy.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Experience using Applicant Tracking Systems (ATS), preferably Workday.
- Ability to work effectively in a fast-paced, global environment.
- Experience supporting global recruiting teams across multiple regions.
- Knowledge of employment eligibility, background screening, and onboarding best practices.
- Experience with Workday Recruiting and HR systems.
