Position Summary:

We are seeking a people-focused, detail-oriented Talent Acquisition Coordinator to serve as a key partner to the Talent Acquisition team, with a primary focus on interview coordination and delivering exceptional candidate experience. In this role, you will engage with candidates, schedule interviews across multiple time zones, manage offer letters and background checks, and help ensure a seamless, professional experience from initial contact through offer acceptance. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced environment while maintaining accuracy, confidentiality, and strong customer service.

Key Responsibilities:

  • Partner closely with TA recruiters and hiring managers to coordinate and schedule phone screens, virtual interviews, and on-site interviews across multiple time zones and locations.
  • Serve as a point of contact for candidates throughout the interview process, providing timely communication and a positive candidate experience.
  • Maintain accurate and up-to-date candidate records and scheduling activity within the Applicant Tracking System (ATS).
  • Prepare and distribute interview itineraries, confirmation communications, and relevant materials to candidates and interview panels.
  • Assist with drafting and sending TA-related communications, including interview invitations, scheduling confirmations, and logistics instructions.
  • Respond to general candidate and hiring manager inquiries and escalate complex or sensitive matters to the recruiter as appropriate.
  • Support continuous improvement of scheduling and coordination workflows to increase efficiency and enhance candidate experience.
  • Follow internal standards, policies, and procedures while maintaining confidentiality of all candidate and personnel information.
  • Perform special projects and other duties as assigned.

 

Skill Requirements:

  • Bachelor’s degree in human resources, business administration, or a related field preferred; equivalent work experience may be considered.
  • Proficiency with Microsoft Office, including Outlook, Teams, Word, PowerPoint, and Excel.
  • Experience working with an applicant tracking system; ADP Recruitment Manager experience preferred.
  • Exceptional organizational skills and strong attention to detail.
  • Strong verbal and written communication skills with a professional, candidate-friendly tone.
  • Proven ability to manage competing priorities and meet deadlines in a fast-paced environment.
  • Ability to act with integrity, discretion, and confidentiality.
  • Collaborative team player with a positive, service-oriented attitude.
  • Strong problem-solving skills and the ability to adapt quickly in a dynamic environment.


Physical Requirements:

  • Work is primarily performed in an office environment at a desk using a computer.
  • Must be able to lift up to 15 pounds at times.
