What We're Looking For:
The Supervisor, Project Support is a leadership position responsible for overseeing the day-to-day operations of the Project Support team members, ensuring the precise execution of key program activities, and fostering the professional growth of team members. Operating with a high degree of autonomy, this role will serve as a key partner to Program Managers, driving data integrity, financial accuracy, and process excellence across the portfolio.Essential Duties and Responsibilities:
Team Leadership & Development:
• Lead Project Support team members, including training and performance management
• Establish clear goals and objectives for the team, ensuring workload is effectively prioritized and aligned with departmental and organizational goals
• Champion a culture of continuous improvement, collaboration, and knowledge sharing within the team
Project Coordination & Execution:
• Oversee critical project support functions, including the meticulous management of resource records within the Planisware database, ensuring high data integrity in close collaboration with other leads and supervisors
• Partner with Project Managers to create and maintain comprehensive project documentation, distribute project plan updates, and manage SharePoint collaboration sites
• Proactively manage stakeholder communication and follow-up to ensure alignment with project timelines and deliverables
Financial & Data Analysis:
• Drive assigned regional team's financial activities, including budget tracking, supporting the monthly financial close process, and resolving accounts payable issues
• Collect and analyze data from diverse sources to prepare insightful reports and presentations for PMO leadership, highlighting key trends and performance metrics
• Work with Regional Business Analyst to ensure compliance to Zebra Contractor and Agency Worker (Time & Material) end-to-end processes
• Utilize a deep understanding of Program Management processes to provide guidance, training, and support to Program Managers and the broader project teams
Process Improvement:
• Proactively identify opportunities for process optimization within the Program Management support function
• Lead initiatives to design, implement, and document improved workflows that enhance efficiency, accuracy, and scalability
• Report weekly status updates on team activities and process improvement initiatives to senior management
Key Skills and Competencies:
• Leadership: Proven ability to lead, delegate, and motivate a team, with a strong aptitude for training, coaching, and knowledge transfer
• Project Management Acumen: Fundamental knowledge of project management disciplines, methodologies, and tools
• Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, Smartsheet, and Confluence
• Communication: Exceptional written and verbal communication skills, with the ability to manage stakeholder expectations and report effectively to senior management
• Organizational Skills: Superior organizational, time management, and multitasking abilities with a keen attention to detail
• Adaptability: Demonstrated ability to navigate change, solve problems proactively, and adopt new technologies and skills quickly
• Preferred Systems Knowledge: Experience with Planisware and data visualization tools such as Power BI is a plus.
Minimum Education or Equivalent: Bachelors degree in Business Administration, Project Management, or a related field is preferred. Candidates who have 5+ years of experience in administrative roles will be considered in lieu of a degree
Minimum Work Experience: 5+ years of relevant experience in project coordination, project management, or a related support function, with demonstrated experience in a leadership or supervisory capacity

Skills Required
