Your Role
Gensler is seeking a motivated and detail-oriented Studio Coordinator to support a blended studio comprised of four integrated practices: Cities & Urban Design, Mobility & Transportation, Strategy, and Climate Action & Sustainability. This is a full-time onsite role that combines hands-on business development support, studio operations, and project coordination. The ideal candidate is a strong visual communicator who thrives in a collaborative environment, can balance multiple priorities, and takes pride in producing polished communications and materials.
What You Will Do
Support Studio with administrative needs, including tracking personal development quarterly meetings and submissions of key office documents/deliverables
Organize studio meetings, document and distribute studio meeting content afterwards
Runs staffing reports
Support studio events planning and coordination
Partner on project start-up tasks including contracts, proposal letters, work authorizations, creation and/or maintenance of project directories, cloud-based file sharing sites, opening project and sub-project billing codes
Collaborate with project team on early project phases tasks including but not limited to consultant contracts, consultant work authorizations, project filing, print coordination, copying/scanning, creation/maintenance of various spreadsheets, meeting coordination and set-up as required, preparation of meeting agendas and meeting notes, and org charts for the team.
Support business development efforts by helping to track market opportunities, maintain subconsultant and client contact information, and coordinate pursuit timelines across the studio's four practice areas
Maintain and update a library of project case studies, qualifications, staff resumes, boilerplate content, and visual assets that reflect the studio's expertise
Support thought leadership initiatives including conference presentations, published articles, social media content, and speaker preparation
Help track business development pipeline activity, pursuit deadlines, and related budgets
Collaborate with teams to craft thoughtful, well-designed project deliverables and compelling client-facing materials
Develop standardized templates to enhance efficiency and consistency across the studio’s service offerings
Your Qualifications
Bachelor's degree; preference for degree in Graphic Design, Marketing, Communications, Urban Planning, or a closely related field
5 or more years of experience in an administrative, marketing, business development, or communications role, preferably within an architecture, planning, engineering, or design firm
Experience supporting the development of client-facing presentations and interview materials
Graphic design skills strongly preferred; submission of visual work samples highly encouraged
Familiarity with RFP/RFP responses and processes
Strong written and verbal communication skills
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Creative Suite (InDesign+); these are core, daily tools for this role
Experience with CRM platforms and pursuit tracking tools (Salesforce or similar)
Ability to manage multiple deadlines simultaneously in a studio environment with a collaborative, solutions-oriented attitude

Skills Required
