Job Description

The New York City Housing Authority's Department of Special Repair Projects is seeking an experienced Strategic Project Coordinator to provide high-level administrative and operational support to the department's leadership team. The ideal candidate will possess exceptional organizational, analytical, and communication skills, with the ability to coordinate multiple priorities in a fast-paced environment. This position requires strong administrative experience, attention to detail, and the ability to collaborate effectively with internal and external stakeholders while ensuring compliance with agency policies and procedures.
Reporting to the Deputy Director, under general direction with wide latitude for the exercise of independent initiative and judgment, responsibilities include but are not limited to, the following:
- Prepare reports, perform administrative analyses, develop timelines, and assist in the review of program plans, funding allocations, and departmental performance.
- Monitor and maintain divisional performance data, compile service delivery metrics, and prepare summaries and recommendations to support operational improvements.
- Review, process, and coordinate contractor, consultant, and vendor payment requisitions to ensure completeness and compliance with agency procedures.
- Maintain accurate, complete, and up-to-date departmental records, databases, spreadsheets, and project documentation.
- Coordinate correspondence and provide timely, professional responses to inquiries from contractors, consultants, vendors, trades, and other stakeholders.
- Serve as a primary administrative liaison for internal and external inquiries, including those from residents, customers, and their authorized representatives.
- Coordinate meetings, prepare agendas, record meeting notes, and track follow-up actions to support departmental initiatives.
- Assist with scheduling, monitoring, and coordinating departmental projects, assignments, and deadlines to ensure timely completion.
- Support the preparation of presentations, reports, briefing materials, and other executive-level correspondence.
- Maintain confidential records and handle sensitive information with discretion and professionalism.
- Coordinate office operations and administrative activities to support the efficient functioning of the department.
- Perform other related administrative duties and special assignments as directed by the Deputy Director.

Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
