JOB TITLE: Station Manager- Hyderabad
Overall, Mission
To ensure seamless operations, superior customer service, and optimal productivity at the Hyderabad branch through effective leadership, operational excellence, and continuous improvement. This will be achieved by overseeing day-to-day logistics, managing client relationships, and fostering a collaborative, high-performance team environment while maintaining the highest standards of quality, safety, and profitability.
Main Contribution:
1. Branch Management & Leadership
- Managing the Entire Branch: You are responsible for overseeing all aspects of the Hyderabad branch ensuring that daily operations are efficient, well-coordinated, and meet the organization’s standards. This includes managing staff, resources, facilities, and the day-to-day activities of the branch.
- Controlling Agents and Vendors: You manage and oversee relationships with external agents, ven dors, and service providers to ensure quality service and adherence to contractual obligations. This includes monitoring contracts for services such as pest control, fire extinguisher maintenance, and other necessary operations.
- Clinical Trials & Pharma: Supporting domestic networks and site coordination for clinical trials and pharmaceutical inventions.
- Site Coordination: Supporting the operational needs related to clinical trials and pharmaceutical activities.
2. Branch Development & Client Relationship Management
- Client Relationship Management: A key contribution is ensuring the continuous development of relationships with both existing and new clients. By maintaining close communication, understanding client needs, and delivering consistent service, you contribute directly to client satisfaction and retention.
- Business Development: Part of your responsibility involves identifying growth opportunities, expanding the client base, and developing a new network of agents for both domestic and international logistics.
- Client Follow-ups: Regularly follow up with clients, airlines, and customs authorities to ensure the smooth export and import of shipments, particularly time-sensitive and temperature-controlled goods.
- Agent Network: Developing new agent networks and strengthening existing relationships with agents.
3. Temperature-Controlled Logistics & Cold Chain Management
- Monitoring Cold Chain Logistics: A major aspect of your role is ensuring that temperature-sensitive shipments, including pharmaceuticals and clinical trials, are handled with care and in compliance with cold chain standards.
- Quality Control: You oversee all aspects of temperature control logistics to ensure goods are transported and stored at the correct temperatures, including the management of vehicles, freezers, cool rooms, and refrigerators.
- Temperature-Controlled Logistics: Handling transportation of time-sensitive and temperature-sensitive shipments, ensuring compliance with cold chain management standards.
- Monitoring Operations: Supervision of staff, vehicles, storage units (freezers, fridges, cool rooms), DG (Dangerous Goods), and office assistants.
- Operational Audits: You manage and oversee the operational department’s audits, ensuring that all records and processes are in order, and address any discrepancies or findings raised during the audit process.
- Operational Cost Reduction: Identifying cost-reduction opportunities while ensuring the targets are met.
- Emergency Shipment Handling: In the event of staffing shortages or urgent shipments, you personally oversee emergency pickups and deliveries to ensure that client needs are met without delay.
- Crisis Management: You take the lead in any urgent situations related to logistics, client relations, or
operational disruptions, ensuring that the situation is handled promptly and efficiently.
4. Team & Staff Management
- Employee Management: Approving team shifts, leaves, and requisitioning additional or replacementmanpower as necessary.
- Team Supervision: Managing operations staff, drivers, and ensuring all daily tasks are being carried out effectively.
- Managing Operations and Staff: You oversee the daily activities of the operational team and drivers, ensuring efficient coordination and timely execution of tasks. You are responsible for approving shifts, leaves, and managing staff attendance.
- Shift and Leave Approvals: You ensure the team is adequately staffed by approving operational team shifts and managing leaves to maintain smooth operations.
5. HR & Compliance
- Job Descriptions & HR Coordination: Develop job descriptions for existing and new positions, ensuring they align with the company’s goals and are discussed and finalized with the HR department..
- Training Calendar: Monitoring the HR-provided training calendar to ensure all training sessions are being executed properly.
- Employee Recruitment: In case of any staffing shortages, you have the authority to raise requisitions for additional staff or replacements, and you play a role in hiring new employees. Conducting interviews for department staffing and supporting HR in manpower planning.
- Employee Training & Development: You are responsible for the onboarding and continuous training of both new and existing employees, ensuring they are well-equipped to meet operational requirements and maintain high service standards and ensuring all training records are filed as per ISO standards.
- Training Record Management: Ensure that all training activities and certifications are accurately recorded and filed in compliance with ISO documentation standards.
- Holiday and Custom Regulations: You manage the holiday list for the HR department according to customs and operational needs.
- ISO Compliance & Internal Audits: You are responsible for ensuring that the operations at the Hyderabad branch comply with ISO standards. This includes conducting internal audits and addressing any queries raised by auditors.
6. Financial Management
- Cost Management: Preparing profit margin files and reviewing operational costs.
- Petty Cash Management: You are responsible for maintaining petty cash records, ensuring that all vouchers are signed and submitted to the head office for proper documentation and tracking.
- Quotation Support: Assisting the sales team in preparing quotations for domestic and overseas clients.
- Cost Reduction Initiatives: You identify areas for operational cost reduction, helping to improve profitability without compromising service quality. This may involve optimizing resource use, streamlining logistics processes, or negotiating better contracts with vendors and service providers.
- Project Management: You ensure that all operational projects are completed within deadlines, adhering to timelines, budget, and scope. You make sure that key performance indicators (KPIs) are met consistently.
7. Vendor Payments & Financial Management
- Approval of Vendor Payments: As part of your financial responsibilities, you oversee vendor payments, ensuring that invoices are processed accurately and on time. You maintain a close relationship with the accounts team to ensure smooth financial operations.
- Pricing & Quotations: You manage pricing for the Hyderabad branch and certain overseas agents, ensuring that pricing strategies are competitive while maintaining profitability. You also assist the sales team in preparing accurate and timely quotations for clients.
8. Facilities Management & Office Maintenance
- Day-to-Day Facilities Management: You oversee the daily office maintenance and ensure that the facilities are well-maintained and conducive to a productive working environment. This includes managing the upkeep of office space, equipment, and ensuring that all operational areas are functioning efficiently.
9. Administrative Support & Data Management
- Admin Support for Higher Management: You assist the administrative team by providing necessary data and reports required by senior management for decision-making. This includes maintaining detailed records on operational performance, training, staffing, and financials.
- Contract Monitoring & Vendor Management: You manage contracts related to pest control services, fire extinguisher services, and other maintenance services, ensuring that these contracts are adhered to and that service reports are maintained for future reference.
- Annual Maintenance Contracts (AMCs): You monitor and manage AMC agreements with vendors and clients, ensuring all parties fulfill their obligations.

Required Skills
Profile (experience/ education): Graduate or Post Graduate in any stream with more than 7 years in Temperature control logistics corporate sector.
Language: English, Hindi & Telugu. Any other regional language will be added advantage.
