- Raise and issue accurate client invoices (e.g., T&M, fixed price, milestone-based)
- Validate contractor timesheets (e.g., Clockify/Zoho integration)
- Ensure correct PO numbers and billing references
- Maintain billing schedules for ongoing projects
- Prepare and process approved credit notes and maintain appropriate supporting documentation
- Maintain aged debtor’s ledger
- Perform weekly debtor reconciliations
- Proactively chase overdue invoices (email + phone)
- Escalate long-outstanding debt to Commercial Director / CFO
- Maintain the billing dispute log and track items through resolution
- Prepare weekly AR status report
- Provide aged debtor analysis (30/60/90+ days)
- Support cashflow forecasting
- Reconcile the AR ledger to the general ledger and investigate reconciling items
- Ensure VAT treatment accuracy (ROI/UK/EU cross-border services)
- Maintain supporting documentation for audit trail
- Coordinate schedules and support documentation for year-end audit queries
- Process supplier invoices (contractors, vendors, utilities, travel)
- Match invoices to PO and approvals
- Validate rates against contract terms
- Review and ensure correct coding to general ledger accounts, departments and projects
- Prepare weekly/monthly payment runs
- Reconcile supplier statements
- Ensure timely payments in line with agreed terms
- Manage approved multi-currency payments, including EUR, GBP and USD, where applicable
- Prepare contractor payment schedules and related accounting support where outside the payroll function
- Validate approved timesheets prior to payment
- Apply relevant tax and VAT treatment and escalate uncertain items for review
- Maintain aged creditor listing
- Monitor duplicate payments
- Prepare and review weekly and monthly bank reconciliations and clear reconciling items promptly
- Prepare intercompany reconciliations and resolve differences across group entities
- Prepare VAT control account reconciliations and supporting schedules
- Prepare payroll control account reconciliations, where applicable
- Prepare and post approved journals for revenue accruals, expense accruals, prepayments and other month-end adjustments
- Maintain general ledger integrity and review balance sheet accounts for completeness and accuracy
- Prepare monthly trial balance and selected management reporting schedules for review
- Investigate material variances and unusual transactions and provide documented explanations
- Maintain fixed assets, accrual, prepayment and intercompany schedules, where applicable
- Prepare and review monthly payroll journal
- Reconcile payroll expense account to payroll report
- Reconcile payroll-related accounts, e.g.,
- Payroll liabilities
- Taxes and statutory deductions
- Employee benefits
- Pension-related liabilities
- Employee expenses and reimbursement account
- Maintain accurate accounting records in the Company accounting system, including QuickBooks, Zoho Books or successor systems
- Support and monitor data integration with:
- Timesheet systems (Clockify/TSheets)
- HRIS (HR Support Manual / or Software etc.)
- Maintain structured digital filing
- Identify and implement approved process improvements, standard operating procedures and control enhancements
- Support finance transition projects, including system implementation, migration, testing and data validation
- Maintain VAT records and support compliance with Irish Revenue and UK HMRC requirements, as applicable
- Prepare or review supporting schedules for:
- VAT returns and related reconciliations for review and filing by the authorized internal or external adviser
- Coordinate with external accountants and provide accurate schedules and records for statutory accounts, tax and regulatory filings
- Maintain appropriate confidentiality, document retention and GDPR-compliant handling of financial information
Requirements
- Bachelor’s in accounting or finance
- Minimum of 3 years’ experience in accounting or equivalent role
- Knowledge of debits and credits
- Knowledge of Accounts Payable, Accounts Receivable and Collections
- Knowledge of GAAP and Journal entries
- Positive and upbeat temperament strongly desired
- Experience with MS Office and QuickBooks desired
- Ability to work in a fast paced, multicultural team with the standard working hours of 3PM - 12 PM (PHT)
