Responsibilities:
Assemble and manage comprehensive deployment packages for high-stakes operations.
Plan, coordinate, and manage detailed travel logistics, including international travel.
Oversee and manage extensive medical, dental, and vision requirements for deployed personnel.
Prepare, review, and submit detailed and executive-level expense reports and purchase requisitions.
Maintain and efficiently manage office supply inventory at an executive level.
Initiate, track, process, and verify complex data from multiple sources accurately.
Utilize various IT platforms at an advanced level to support daily administrative tasks.
Coordinate and communicate effectively with high-level contacts on military bases and government buildings.
Manage and oversee complex security and government clearance processes efficiently.
Prepare and edit communications, presentations, and documents.
Act as a liaison between executives and internal/external stakeholders.
Handle high-level administrative tasks with a focus on business operations.
Facilitate coordination between teams and departments.
Support onboarding and training for new employees.
Organize team-building and employee engagement activities
Draft and review internal and external communications.
Handle confidential information with discretion.
Manage the flow of information and communications.
Qualifications You Must Have:
High school diploma or equivalent.
5+ years of relevant experience.
Higher level relevant degree may substitute for experience.
Proficient in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, OneNote and SharePoint Online), Travel and Expense Platforms (e.g. Concur), and Project Management Applications (e.g. Smartsheet or Microsoft Project).
Qualifications We Prefer:
Associate’s degree in Business Administration or a related field.
Extensive experience in the Aerospace and Defense industry.
Mastery of security and clearance processes.
Certifications such as Professional Administrative Certification of Excellence (PACE) or Certified Associate in Project Management (CAPM) are optional but beneficial.
Proficient knowledge of administrative practices including preparing expense reports and purchase requisitions and coordinating meetings, events and travel.
Professional demeanor and excellent communication skills.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent interpersonal skills and ability to work well with teams.
Ability to develop solutions to moderately complex problems by applying experience and knowledge.
Ability to handle confidential and sensitive information.
