Job Description
As a Senior RCM Associate at Needletail, you will play a key role in delivering accurate and efficient dental insurance eligibility and benefits verification for dental practices across the United States. You will work alongside Needletail's AI-powered automation systems to verify patient insurance coverage, retrieve detailed plan benefits, resolve complex verification cases, and ensure the accuracy of information before it reaches the dental practice management system.

This role requires hands-on experience in U.S. healthcare RCM, strong knowledge of insurance verification workflows, excellent communication skills, and the ability to handle exceptions that require human judgment. You will also contribute to quality improvement and help our AI systems learn from real-world payer interactions.

This is a voice-based role involving direct communication with U.S. dental insurance companies, along with insurance portal-based verification.

Key Responsibilities

  • Dental Insurance Eligibility Verification: Verify patients' active insurance coverage, policy status, effective dates, and plan details before scheduled dental appointments.

  • Benefits Verification: Accurately identify and document annual maximums, deductibles, remaining benefits, coverage percentages, waiting periods, frequency limitations, exclusions, and other plan-specific conditions.

  • Payer Communication: Contact U.S. dental insurance companies through phone calls and insurance portals to obtain complete and accurate eligibility and benefits information.

  • Complex Case Resolution: Investigate discrepancies, incomplete information, coordination of benefits, and payer-specific exceptions to ensure reliable verification results.

  • Quality Assurance: Review completed verification records for accuracy, completeness, and consistency with payer information. Identify errors and take corrective action.

  • AI-Assisted Operations: Work alongside Needletail's AI agents, review cases requiring human intervention, validate extracted information, and resolve exceptions that automated systems cannot handle independently.

  • Documentation and PMS Updates: Ensure verified insurance and benefits information is documented accurately and updated in the relevant dental practice management system (PMS).

  • Process Improvement: Identify recurring payer-related issues, verification errors, and workflow bottlenecks, and recommend improvements to existing processes.

  • AI Feedback and Training: Provide structured feedback on AI-generated verification results, incorrect data extraction, payer responses, and recurring exceptions to help improve automation accuracy.

  • Productivity and SLA Adherence: Meet established productivity, quality, and turnaround-time expectations while maintaining accuracy across assigned verification cases.

  • Knowledge Sharing: Support team members by sharing payer-specific knowledge, verification best practices, and solutions to common operational challenges.

Required Skills

  • 3–5 years of experience in U.S. healthcare RCM, preferably in dental RCM and insurance eligibility/benefits verification.

  • Strong understanding of U.S. dental insurance plans, payer processes, and eligibility verification workflows.

  • Hands-on experience communicating with U.S. insurance companies over the phone.

  • Ability to interpret dental insurance benefits, including deductibles, annual maximums, coinsurance, waiting periods, frequency limitations, and exclusions.

  • Excellent English communication skills, including verbal communication, active listening, and professional documentation.

  • Strong attention to detail and the ability to identify inconsistencies in insurance and benefits information.

  • Good problem-solving and analytical skills, with the ability to investigate and resolve complex verification cases.

  • Ability to work with insurance portals, spreadsheets, and computer-based systems.

Preferred Qualifications

  • Prior experience working with U.S. dental practices, dental groups, or Dental Service Organizations (DSOs).

  • Familiarity with dental practice management systems such as Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, or other dental PMS platforms.

  • Experience with dental insurance carriers and payer portals.

  • Exposure to quality audits, process improvement, or mentoring junior team members.

  • Familiarity with AI-assisted workflows or automated RCM platforms.

Experience

  • 3–5 years of relevant experience, preferably in U.S. dental revenue cycle management, with hands-on exposure to insurance eligibility and benefits verification.

  • Candidates with strong U.S. medical RCM experience may also be considered if they have relevant insurance verification experience and demonstrate the ability to learn dental-specific workflows.

  • The role requires working in alignment with U.S. business hours to communicate with insurance companies and support dental practices across the United States.
