About the role

We are seeking an experienced Senior Workday Payroll Specialist to lead our payroll operations. This is a hybrid role based in-person at our offices, in Hauppauge NY, offering the perfect blend of collaboration and flexibility.

In this role, you will own our end-to-end payroll strategy and execution. You will manage all time and attendance systems, process payroll, and prepare critical financial information for both financial and management reporting. We are specifically looking for a leader who deeply understands the financial mechanics of self-insured companies, bringing the expertise needed to manage complex benefit deductions and employer risk. The ideal candidate will have a masterful command of payroll compliance, paired with a solid understanding of accounting principles to support seamless month-end reporting.

What You Will Do

  • Payroll Processing: Lead the end-to-end processing of weekly and bi-weekly multi-state and international payroll (US and Canada), including time code maintenance, tax setups, earnings validation, and the management of deductions (e.g., 401(k), FSA), ensuring absolute accuracy, compliance, and timeliness.
  • Employee Support: Serve as the primary point of contact for employees to resolve payroll or time and attendance inquiries while ensuring the safekeeping of confidential records and employee data.
  • Data & Cross-functional Management: Partner closely with HR, Benefits, and Accounting to update employee information (i.e., earnings, deductions, time codes), validate new hires, align data, and maintain confidential records, including testing of any changes and ensuring resolution of complex inquiries.
  • Financial Reporting & GL: Own the month-end payroll accruals, weekly journal entries, quarter-end and year-end payroll adjustments, and general ledger (GL) mapping to ensure seamless financial reporting Process and reporting.
  • Subject Matter Expert: Serve as Workday Payroll subject matter expert, including configuration of earnings, deductions, tax setups, pay groups, and integrations with benefits, time tracking, and general ledger systems. Lead biannual Workday release testing and maintain custom reports and calculated fields.
  • Compliance & Regulation: Monitor federal, state, local, and cross-border tax regulations to ensure strict internal controls, mitigate risk, and guarantee compliance.
  • Account Reconciliation: Reconcile payroll bank accounts on a routine basis to identify discrepancies and ensure accuracy.
  • Audits & Projects: Prepare, review, and validate information needed for 5500 filings, various annual audits (i.e., 401(k) audit, workman’s compensation, etc. ) and assist with general ledger duties like Accounts Payable, Account Receivable, and other General Ledger related duties, as needed.
  • Process Improvements: Identify and implement process improvements and automation opportunities to increase payroll accuracy, efficiency, and scalability.

What You Need

  • Advanced hands-on proficiency in Workday is essential; you will be expected to leverage its full capabilities to process payroll, streamline workflows and serve as the subject matter expert for payroll
  • Minimum of 7 years of experience with time and attendance and payroll administration processing in complex, multi-state payroll operations
  • Minimum of 5 years supporting finance and accounting
  • Advanced knowledge of processing involuntary deductions, pre-tax benefits, and retirement contributions
  • Advanced Excel skills, including Pivot Tables, VLOOKUP commands, and formulas
  • Knowledgeable about state and federal employment laws relating to key areas of responsibility
  • Ability to independently manage internal and external audits, maintaining flawless compliance records
  • Excellent communication and interpersonal skills with all levels of the organization including C level
  • Highly detail oriented and organized
  • Able to meet assigned deadlines and prioritize competing demands
  • Ability to work in a flexible schedule and in a teamwork environment

Preferred Skills and Knowledge

  • Deep expertise in configuring, upgrading, and troubleshooting HRIS and payroll software with the ability to navigate configurations and custom reporting is highly valued.
  • Proven success in training, mentoring, and upskilling payroll coordinators and specialists.
  • A strong understanding of accounting principles (GAAP), general ledger impact, and month-end close processes is highly preferred (a Degree in Accounting or Finance is a major plus).

Our good faith estimate of the salary range for this role is $88,000 - $129,000. Exact compensation may vary based on skills, experience, and other factors. In addition to base pay, we offer a full benefits package.

This position requires on-site presence at Spellman High Voltage headquarters in Hauppauge, NY.
