Duties & Responsibilities
· Active participation in meetings and general efforts to improve our client experience in coordination with our quality area
· Coordination and liaison with the sales teams in Brazil, Miami and Zurich on matters pertaining to the fiduciary and funds structures
· Support sales team on the offering and structuring of fiduciary and funds structures;
· Support clients, Family Offices, Lawyers and Accountants with their day to day needs in relation to fiduciary and funds structures;
· Identify efficiencies and improve processes with focus on sales opportunities;
· To ensure that all documentation in regard to the fiduciary and funds structures are in accordance with the Brazilian tax and financial requirements and meet the established Service Level Agreements among all parties involved
· Liaise, jointly with the Core cell, with the back office teams in Miami and Zurich on matters pertaining to day to day activities related to the Fiduciary products;
· Interaction with third party providers and internal teams in order to review NAV calculation, Fund Administration, Audit, annually financial statement preparation and any other relevant matter related to fiduciary and funds structures;
· Responsible to prepare and review all internal and corporate documents related to the fiduciary and funds structures, acting as the facilitator between Sales, Wealth Planning, Fiduciary Teams and booking centers team
· Contact Sales Team to obtain missing documentation (paperwork) and information related to the incorporation and maintenance of the fiduciary and funds structures as well as on the preparation of the annually financial statement for the fiduciary and funds structures prepared by the third parties;
· Ensure the proper administration of all fiduciary and funds structures in accordance with department regulations regarding client instructions, authorization levels, money transfer, cash movements, subscription, redemption, transfer of assets, liquidation, closing of structures and accurate record keeping;
· Review all existing Policies and Procedures as well as flows proposing changes to increase efficiency and mitigate possible risks, with focus on Key Performance Indicators (KPI’s) for the area;
· Review all new structure documentation for prospective fiduciary and funds clients ensuring that application forms are properly completed, that all agreements are witnessed correctly and that all other applicable documents are supplied;
· Support RMs, ROss, IROs and Fiduciary Operational Teams on client inquiries and investigations related to operational matters and handle potential client complaints in coordination with quality
· Assist RM/RO in the process of incorporating PICs, Funds and trusts for clients
· Receive and reply to customers email and requests when related to administrative and operational issues
Qualifications
· Bachelor’s degree
· 5 or more years of experience in client service, operations or private client relationship management support
· Advanced account administration procedures
· In-depth knowledge of private banking products and services
· Microsoft Office
· Excellent command of the English language
· Fluency in Portuguese and/or Spanish
