Job Description:
Sr. Executive Assistant
Nextpower is seeking an experienced Sr. Executive Assistant to support our Chief Operating Officer and Chief Project Delivery Officer as well as supporting some senior leadership within this department. This position will be onsite and located at our global headquarters in Fremont, California.
The Sr. Executive Assistant’s responsibilities will include the following:
- Perform an extensive range of administrative tasks such as calendar management, expenses, coordination of complex international and domestic travel itineraries, etc.
- Work closely with our executive leaders
- Coordinate, arrange, and run logistics for staff meetings and a variety of other meetings, including preparing meeting materials ahead of time
- Document meeting minutes as well as manage and track action items
- Plan and coordinate employee/client events
- Heavy calendar, managing logistics for meetings, conference room assignments and room maintenance, complex itineraries and travel, etc.
- Receive and direct external visitors
- Research and compile briefing documents in preparation for meetings
Requirements:
- BA / BS / Associate’s degree or equivalent work experience
- 10+ years of Executive Administrative support in a dynamic environment
- Amazing organizational skills, attentive to detail and master of follow through
- Possess strong business judgment and communication skills needed to interact with a wide variety of internal and external contacts at all levels
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience working with senior level executives both internal and external. The ideal candidate will have wide-ranging experience, use professional concepts and company objectives to resolve complex issues in creative and effective ways
- Sound judgment and decision-making ability in resolving complex problems
- Ability to manage sensitive and confidential information discreetly
- Manages multiple priorities and re-prioritizes where necessary
- Has a can-do attitude and can interact with others in a professional manner
- Self-motivated to meet deadlines independently. Understands department goals and priorities, anticipates needs, and initiates action.
Pay is based on market location and may vary based on factors including experience, skills, education and other job-related reasons. The annual salary range for this position is $145,000 to $165,000.
