Key Responsibilities
Serve as the primary point of contact for Head of Commercial Bank, managing relationships with internal leaders, clients, and key stakeholders across assigned lines of business and geographies with professionalism and discretion.
Orchestrate complex calendar management for multiple executives — scheduling, prioritizing, and resolving conflicts to ensure the most critical and time-sensitive matters receive appropriate attention.
Draft, edit, and prepare high-quality written communications on behalf of leadership, including emails, memoranda, briefing documents, agendas, and executive presentation decks.
Coordinate and manage meetings end-to-end — scheduling, distributing agendas, organizing logistics (including catering and A/V setup), capturing minutes, and tracking follow-up action items to completion.
Arrange and manage all travel logistics, including itineraries, accommodations, and ground transportation, and process associated expense reports accurately and on time.
Coordinate candidate interview scheduling in partnership with Talent Acquisition, aligning availability across multiple executives and ensuring a seamless candidate experience.
Screen and direct incoming calls and visitor inquiries with a polished, professional demeanor, identifying purpose and routing to the appropriate party or department.
Manage office operations within the executive suite — maintaining supply inventory, overseeing workspace readiness, and ensuring a well-organized, professional environment.
Utilize Salesforce to support utilization tracking, reporting, and data entry as required by the business, maintaining accuracy and timeliness of records.
Provide proactive support on special projects and strategic initiatives led by Operating Committee members, anticipating needs and delivering solutions before they are requested.
Collaborate with and provide backup support to other Executive Assistants across the firm, contributing to broader corporate events and ensuring continuity of executive support across lines of business and geographies.

Qualifications
Minimum of 5 years of progressive experience as a Senior Administrative Assistant, or Personal Assistant supporting C-suite or senior executive leadership.
Strong proficiency in Microsoft Office Suite — particularly Outlook (calendar management), Excel (data tracking), PowerPoint (executive presentations), and Word (business correspondence).
Demonstrated experience managing complex, multi-executive calendars with competing priorities in a fast-paced, high-expectation environment.
Experience with Salesforce for utilization tracking, reporting, and data management.
Excellent written and verbal communication skills with the ability to draft polished, executive-level correspondence and presentations.
Exceptional organizational skills with keen attention to detail and the ability to manage multiple concurrent priorities without sacrificing quality.
Proven track record of exercising strong judgment, discretion, and confidentiality when handling sensitive executive and organizational information.
