In this role, you will provide comprehensive administrative support to two senior investment professionals within NLG Capital, the investment management company of National Life Group. You will manage complex schedules, coordinate meetings and travel, prepare executive-level materials, and support the day-to-day activities of the investment team while serving as a trusted partner to leadership. 

This role regularly interacts with senior leaders, investment professionals, external investment managers, consultants, banks, advisors, and business partners. Success in this position requires exceptional organization, professionalism, discretion, sound judgment, and the ability to anticipate business needs while managing multiple competing priorities in a fast-paced environment. 

The ideal candidate is proactive, highly organized, collaborative, and thrives in supporting senior leaders by ensuring operational efficiency and delivering exceptional administrative support. 

This position currently offers an onsite work schedule, with the expectation that you will be in the office four (4) days per week during onsite core days. Our current onsite core days are Monday, Tuesday, Wednesday, and Thursday.  The work schedule type and core days are subject to change with advance notification and manager discretion. 

Essential Duties and Responsibilities 

  • Provide administrative support to leaders and business teams across the organization. 
  • Serve as a professional point of contact for internal and external business partners, coordinating communications and information flow. 
  • Draft, edit, and format correspondence, presentations, reports, meeting materials, and other business documents. 
  • Coordinate meetings with internal teams and external investment managers, sponsors, consultants, banks, advisors, and other business partners. 
  • Coordinate recurring investment team meetings, portfolio reviews, and investment committee meetings, including agendas, meeting materials, logistics, and follow-up action items. 
  • Coordinate conference registrations and due diligence visits; arrange business travel, accommodations, itineraries, and related documentation; prepare and submit expense reports. 
  • Plan, coordinate, and execute meetings, events, workshops, recognition activities, and other business functions. 
  • Maintain electronic and physical records, files, correspondence, and documentation in accordance with company policies and established procedures. 
  • Prepare, edit, and distribute confidential investment-related presentations, reports, and meeting materials. 
  • Organize and maintain confidential investment documentation and correspondence in accordance with company policies. 
  • Coordinate onboarding, offboarding, and other administrative activities for assigned business areas. 
  • Monitor assigned administrative projects, follow up on action items, and coordinate activities to support timely completion. 
  • Build collaborative working relationships with leaders, administrative professionals, and business partners to support organizational effectiveness. 
  • Handle sensitive and confidential information with professionalism, discretion, and sound judgment. 
  • Identify opportunities to improve administrative processes, organization, and efficiency. 
  • All other duties as assigned. 

Minimum Qualifications 

  • Bachelor’s degree in Business Administration or related field and 3 or more years of related administrative experience, or equivalent combination of 7 years total education, certification, and experience. 
  • Experience supporting senior leaders in a fast-paced environment requiring exceptional discretion, sound judgment, and management of competing priorities. 
  • Strong interpersonal skills, including the ability to handle sensitive and confidential information with poise, tact, discretion, and diplomacy. 
  • Demonstrated initiative and ability to anticipate routine leadership and team needs. 
  • Excellent organizational skills with the ability to prioritize multiple assignments, manage competing deadlines, and maintain exceptional attention to detail. 
  • Strong written and verbal communication skills. 
  • Critical thinking, problem-solving, and project coordination skills appropriate for varied administrative assignments. 
  • Proficiency with common office technology and ability to learn company-specific systems and processes. 
  • Must be willing and able to work more than a 40-hour work week if necessary. 
  • Must be able to pass a background check. 

Preferred Qualifications 

  • Experience supporting multiple leaders in a corporate or professional environment. 
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams. 
  • Experience supporting investment committees, executive committees, or other governance-related meetings. 
  • Knowledge of expense reporting, travel coordination, and complex calendar management. 
  • Demonstrated ability to coordinate highly confidential meetings, projects, and corporate events involving multiple stakeholders. 
  • Proven success preparing executive-level presentations, communications, reports, and meeting materials. 
  • Familiarity with enterprise business applications such as Concur, UKG, Workday, or similar systems. 
  • Flexibility to occasionally support meetings or events outside standard business hours. 
  • Experience supporting executives or investment professionals within investment management, asset management, financial services, banking, consulting, or a similarly regulated professional services environment.

Base Pay Range.  The base pay range for this position is the range National Life reasonably and in good faith expects to pay for the position taking into account the wide variety of factors, including: prior experience and job-related knowledge; education, training and certificates; current business needs; and market factors.  The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances.

Additional Compensation and Benefits. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. The successful candidate may also be eligible to participate in National Life’s discretionary annual incentive programs, subject to the rules governing such programs. If hired, the employee will be in an "at-will position" and National Life reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.
