The University of Miami/UHealth Department of Medicine, Division of Nephrology & Hypertension has an exciting opportunity for a Full-Time Sr. Administrative Assistant to work on the UHealth Campus. The Sr. Administrative Assistant performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office.  Candidate will provide administrative and clerical support to the Division Chief for Nephrology at UHealth. Initially this will be 100% in person with the possibility in the future to go to hybrid.

Core Responsibilities

  • Responsible for working with the Division Chief in calendar management, scheduling candidates, events, and business-related activities.

  • Submits and processes all faculty reimbursements and expense reports (CME and non-CME related) for the Division of Nephrology; manages and updates CME expense tracker for all Nephrology faculty.

  • Facilitates the Annual Faculty Evaluation process in conjunction with the Division Chief.

  • Facilitates Yearly CME lecture series (Nephrology only). Facilitates APT process for the Division of Nephrology.

  • Facilitates Voluntary faculty appointments and re-appointments on an annual basis for the Division of Nephrology.

  • Draft of original correspondence for Chief Review and signatory (e.g., letter of recommendations, letters to editors, letters responding to donor donations).

  • Assists with Division of Nephrology’s annual report (tracking awards, pictures, and publications for division faculty.)

  • Credentialling and recredentialling of providers, maintaining list of licenses, DEAs, Medicaid/Medicare numbers.

  • Maintain CVs and bio sketches for Chief and faculty, enters CVs in digital measures.

  • Schedules and prepares for monthly faculty meetings, taking meeting minutes and preparing agendas.

  • Facilitates and coordinates rotation for visiting scholars (national and international).

  • Planning and coordinating special events/faculty recruitment visits

  • Assists with coordination of legal requested meetings for faculty.

  • Provides administrative and clerical coverage for other Sr. Administrative Assistants as needed.

Core Qualifications

  • High school diploma or equivalent required, Bachelor's degree, preferred

  • Minimum 3 years of relevant experience required, preferred in an academic, healthcare environment. Scientific background or previous exposure to bibliographic review preferred.

  • The candidate must be pro-active, highly motivated and follow up to completion of assigned projects. Must have excellent written and verbal communication skills.  Must have professional, appropriate appearance and demeanor.  Must be able to work with high level of autonomy and independence and manage multiple priorities and projects successfully.  Must demonstrate a high level of organizational and time-management skills as well as ownership and accountability for all responsibilities and activities.  Must be able to problem-solve complex issues.  Must be able and willing to work and thrive in a fast-paced environment, and to interact successfully with internal and external customers and co-workers at all levels of the organization.  Will be expected to represent the Division and the Department with the highest level of professionalism and behavior.
