The Specialist, Gift Management is responsible for managing all gift and data entry and maintaining data standards within the USO’s development and fundraising database and data management systems. This position will be an expert within the Gift Management Team ensuring the daily, monthly and annual tasks are completed in an efficient, accurate and timely manner. This position will be expected to be able to review complicated transactions and make appropriate and timely decisions based on research, experience, and sound judgement.
Principal Duties and Responsibilities (*Essential Duties)
- Recognize and understand guidelines for gifts received through Donor Advised Funds and other third-party giving vehicles to make binding decisions to record gifts and pledges according to USO methods and IRS regulations to meet best practices for gift counting standards and donor recognition.
- Critically review and process incoming donations including but not limited to the daily import of vendor processed gifts, check deposits and wire transfers. *
- Assist with managing overall donor information flow. Lead gift entry in fundraising and data management software systems, including but not limited to the creation and maintenance of gift and constituent records to maintain data integrity. *
- Record gift commitments in the fundraising database related to corporate contracts by reviewing and routing contract cover sheets and ensuring the department is compliant with fundraising standards and donor intent is honored. *
- Assist the monthly reconciliation process in conjunction with the Finance department to ensure accurate revenue recording. *
- Produce gift reports on a weekly and monthly basis for review by fundraising and finance colleagues to determine correct recording of gifts and manage follow-up changes as needed. *
- Monitor the team email account; complete research needed for inquiries from donors, USO Development staff, and other employees; respond to all inquiries in a timely manner.
- Assist in maintaining accurate Development Operations policy and procedure manual.*
- Provide general support across USO Fundraising & Development department, as well as to USO Centers.*
- Other duties as assigned.
- This is an in-person position located in Arlington, VA.
Job Specifications
- High School diploma required. Bachelor’s Degree in Business Administration, Marketing or related field preferred.
- 1-3 years work experience in a fundraising or development support role and/or in the Gift Processing area. Relevant experience in a not-for-profit, military, multicultural and/or global organization preferred.
- General understanding of fundraising best practices and policies.
- Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
- Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Excel, Salesforce, and Fundraise Up.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
- Ability to achieve desired results while working collaboratively in a team environment.
- General knowledge of accounting principles. Ability to perform basic business/accounting functions including project management and budget reconciliation.
- Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.

- The salary range for this position is $48,000 to $67,000.
- To support pay transparency, this posting includes the anticipated base salary range for this role. Compensation is determined based on several factors, including geographic location, relevant experience, specialized skills, certifications, and overall alignment with the position requirements. Our compensation practices are designed to ensure market competitiveness and internal equity across roles and levels.
