JOB DESCRIPTION – SETTLEMENTS AND ACCOUNTS RECEIVABLE OFFICER

Location: Sydney, Australia

Division: Ticketmaster Australia

Line Manager: Finance Director, Ticketmaster Sport (Greece), Secondary reporting line Finance Manager Operations (Australia)

Contract Terms: Fixed term until December 2027, 38 hours per week

THE TEAM

The Settlements and Accounts Receivable Officer is a part of the Finance team and you will review, reconcile and investigate balances across Ticketmaster platforms and systems. Provide client settlements in line with Ticketmaster contracted terms. Work in accordance with Ticketmaster processes and policies and audit requirements.

THE JOB

This position will work cooperatively as part of the Finance / Settlements/ Reporting team and will liaise with all colleagues in the Finance Department to ensure individual performance objectives are met.

This position is also required to liaise with staff of the Client Operations team and the Event Programming Centre in relation to settlement arrangements and contract terms.

Liaise with clients to ensure that the settlements are completed correctly and per contractual terms.

Reconcile allocated debtors, follow up and invoice cash balances, and investigate sales v income differences.

Provide on time and accurate settlements to our clients in relation to the agreed contracted terms.

In addition to finance tasks this role will also work closely with the Project Implementation Manager & Tournament Account Managers, assisting with various administrative tasks across various ticketing systems.

WHAT YOU WILL BE DOING
  • Ensure accurate settlement of all monies per contract for allocated events sold through Ticketmaster nationally in a timely manner.
  • Maintain awareness of nominated client contracts regarding fees and schedules in relation to settlements.
  • Be Proactive to deliver outstanding internal and external customer service.
  • Reconciliation of key allocated general ledger accounts.
  • Provide internal and external stakeholders reports when required.
  • Adhere to Live Nation/Ticketmaster audit and policy requirements and assist when audit documents are required to auditors.
  • Adhere to quality management, safety and environment company policies
  • Assist the Tournament Implementation Manager with preparing the ticketing systems for the different phases of the project

Primary Responsibilities

  • To settle all monies per contract for allocated events sold through Ticketmaster nationally, in a timely and accurate fashion.
  • To reconcile a set of allocated debtors, investigate balances or discrepancies in these debtors.
  • Reconcile settlements using the Oracle accounting package to ensure sales are balanced, and investigate any differences in ledger prior to settlement.
  • Update daily sales reporting templates.
  • Invoice all cancellation fees and charges where applicable as per contract arrangements.
  • Maintain our paperwork to our clients via emails and mail.
  • Manage a portfolio of AR debtors and Settlements in the allocated States.
  • Liaise with client and key personnel in TM national Offices.
  • Provide support to the Finance Manager – Operations and other Financial Accountants.
  • Provide support to the refunds Clerk when data entry assistance is required.
  • Prepare and pay over rebates and interest calculations.
  • Reconcile and Pay cancelled event customer refunds.
  • Any additional client month end reporting when requested from clients or management.
  • Other duties as requested by Finance Manager - Operations and Financial Controller.
  • Utilise the ticketing system to carry out a variety of tasks, including but not limited to
    • Inputting sessions and pricing details.
    • Building out venue seating plans.
    • Managing account information and ticket entitlements.
    • Processing ticket requests/orders for key stakeholders.
    • Preparing the system for ticket distribution.
    • Producing and distributing system reports.
    • Updating the ticketing site content and FAQ’s
    • Inventory management.
  • Assist with testing of new system functionality.
  • Track and process the payments of key stakeholders.
  • Setup and manage the ticket resale process. E.G. authorising ticket postings and initiating refund payments.
  • Any other tasks as defined by the Ticketmaster Sport – Tournaments Management Team.
WHAT YOU NEED TO KNOW (or TECHNICAL SKILLS)
  • Skilled in the use of Microsoft Office
  • Skilled in the use of finance systems is desirable – Oracle and SAP

  • Ability to work effectively in a fast-paced, rapid changing environment, whilst managing stress and meeting deadlines
  • Ability to work both in a team and independently with little supervision
  • A strong analytical background

  • Must be reliable and punctual
  • Problem solve and investigate reconciling variances.
  • Take instructions from the Settlements supervisor
  • Ability to work weekends and public holidays when the role requires due to month end and client report on non-national public holidays.
  • Awareness in the technical and operational construct of ticketing systems including understanding the technical requirements to enable the sale of tickets through multiple sales channels.
  • Able to travel to office minimum 3 days a week
