Job Description:
The Document Control Supervisor is responsible for the implementation and maintenance of all systems relating to document management and control while ensuring the systems meet the requirements of the appropriate standards. This role supervises the document control team, establishes best practices, and ensures document integrity across departments.
Primary Responsibilities:
- Supervise the document control team, providing guidance, training, support and performance management.
- Generate and implement quality systems compliant with the applicable standards (e.g. MIL-PRF-19500, AS9100, ISO14000 etc.) and manage same within the document control group
- Day-to-day duties include but not limited to:
- Updating and creating controlled documents
- Performing document reviews
- Inputting data to Axapta and supporting MRP systems
- Inputting Data to various databases/Excel spreadsheets
- Scanning Quality Records/ Filing and Archiving.
- Preparing Data Packs, presentations and information packs
- Generating all standard production specs.
- Track all documentation requests, change orders and project while driving the associated tasks to completion.
- Work with Engineering/Operations Departments on the introduction of new product lines with respect to documentation and routing (Axapta)
- Conduct regular audits to ensure document accuracy and completeness
- Control the updating and rewriting of controlled documents ,operating manuals and operating procedures for all departments according to practice and protocol.
- Ensure effective and professional communication with other divisions/departments, customers and vendors.
- Answer queries originating from other departments and within department regarding quality compliance/structure, product lines, paperwork, customer drawings etc.
Requirements/Qualifications:
Essential skills:
- Minimum of 2+ years in a supervisory or leadership role.
- Excellent organisational and time management skills.
- Proficiency in Microsoft Word, Excel, Access and PowerPoint.
- Strong communication and interpersonal skills
- Fluent written and spoken English
- Well organised team player, with high attention to detail.
- Ability to multitask, maintain ahead-of-schedule work flow and effectively co-ordinate people and projects/tasks.
Desirable skills:
- Previous experience in an externally regulated environment (e.g. DSCC, MIL, FDA)
- Previous experience with Axapta Dynamics
- Experience within a Document Control Environment
