The Role

Responsible for maintaining a select assignment of special group students; athletes, ROTC, SACM, etc., to help facilitate the invoicing and collection of tuition/fees for manually invoiced students. This will include monitoring their account balances and sending delinquent accounts to collections when needed. This position will also be responsible for the coordination of all university student health insurance and tuition protection insurance plans including the charging and waiving of the insurance fees. As directed, this position will handle adjusting individual student accounts as needed. This position will be the backup for the Student Account email box when the Administrative Assistant is not in the office. Will assist in other office functions are requested.

QUALIFICATIONS:

Education, Experience and Training:

  • Associate’s degree or equivalent experience required.
  • Minimum 4 years’ related experience including customer service and high-level administrative or office management experience required.

Knowledge, Skills, Ability:

  • Ability to work confidently and competently under tight deadlines and flexibility to adjust to changing priorities.
  • Ability to work in a fast-paced environment.
  • Ability to multitask is essential.
  • Knowledge and ability to use Microsoft programs efficiently at an intermediate level for Word and Excel specifically.
  • Website management knowledge a plus.
  • Competent to learn and utilize multiple information systems.
  • Strong interpersonal skills and good negotiation skills to manage dispute resolution.
  • Ability to appropriately handle confidential information.

ESSENTIAL FUNCTIONS:

  • Coordinates timely communication to special student groups to accurately provide account details, due dates, and additional documentation required.
  • Provides positive, courteous and complete verbal and written responses to inquiries from customers, students, parents, internal departmental offices, and team members.
  • Documents communications and account contacts using departmental software and scanning processes.
  • Collaborates and strategizes with Director to solve, streamline and strengthen internal processes to enhance the efficiency of the office and the position.
  • Prepares and updates special student group accounts to monitor, collect, and document any changes or collection actions required.
  • Works directly with the Global Studies and Athletic department to manage and adjust medical insurance and student fees for international students and athletes each semester.
  • Updates and manages daily medical insurance and tuition protection insurance to make sure the appropriate charges and waivers are applied.
  • Works with the Director to reconcile throughout each semester the student medical insurance file and invoice.
  • Manages all communication, documentation and refunding related to tuition protection claims.
  • Handles all incoming scholarship funds for special groups and coordinates with Financial Planning.
  • Assists with various batch billing processes.
  • Supervises student workers, including hiring, disciplining, scheduling, training, assigning work and ensuring completion of assigned responsibilities.
  • Represents Student Accounts at freshman orientations; to include preparing documents for disbursement, assisting in waiving of insurance and helping to answer general student account questions.
  • Assists in other office functions as needed during high volume periods.

SUPERVISORY RESPONSIBILITIES:

  • Student workers – 1 – 3 at a time

  • Report directly to the Director of Student Accounts
