Senior Proposal Manager

Why We Have This Role

This role is pivotal for supporting critical strategic opportunities, offering vital thought leadership and mentorship to our junior global team members, and ensuring the effective management and upkeep of essential team tools and licenses. By bringing in this strategic hire, we aim to free up valuable leadership capacity, optimize resource allocation, improve overall proposal throughput and quality, and ultimately help drive the Global Proposal Team's effectiveness and success. This role will directly contribute to our ability to handle more proposals, increase the quality of our client responses, and reduce friction with our Sales team.

  • Transformative Mentorship: Your ability to provide firm, consistent thought leadership and hands-on mentorship to our global team, driving their performance improvement and skill development.
  • Strategic Project & Proposal Management: Demonstrated expertise in leading and managing complex, high-value proposals from inception to completion, ensuring compliance and high-quality outputs.
  • Operational Excellence & Process Improvement: Your aptitude for identifying inefficiencies and proactively implementing solutions to streamline workflows, manage resources effectively, and enhance overall team throughput.
  • Exceptional Organizational & Tool Management: Meticulous attention to detail in overseeing critical team tools and licenses, including vendor relationships, renewals, and ongoing maintenance.
  • Proactive Problem-Solving: The capability to anticipate and address operational bottlenecks or challenges before they impact team productivity or proposal quality.
  • Cross-Cultural Communication & Collaboration: Proficiency in fostering effective communication and collaboration across diverse teams and geographical locations.

How You’ll Grow

  1. Strategic Operations & Technology Project Management: Opportunities to deepen your expertise in managing critical business tools and vendor relationships, influencing our technological infrastructure and operational continuity.
  2. High-Impact Proposal Leadership: Lead and contribute to the most strategic and complex proposals, working directly on high-value initiatives that shape our client engagements and business growth.
  3. Process Innovation: Drive continuous improvement initiatives, identifying and implementing new processes and best practices that elevate the entire Global Proposals Team's efficiency and output quality.
  4. Partnership with Leadership: Work closely with the Global Proposals Team Manager and senior proposal leadership, gaining insights into strategic planning and contributing directly to the team's long-term vision and development.

Things You’ll Do

  • Lead the end-to-end management of complex, high-value proposals, ensuring quality, compliance, and timely delivery.
  • Provide mentorship and thought leadership to junior team members, driving skill development and improved team performance.
  • Oversee critical proposal tools, licenses, and vendor relationships to maintain operational efficiency and resource optimization.
  • Identify and implement process improvements to streamline workflows, enhance collaboration across global teams, and boost proposal output quality.
  • Collaborate closely with senior leadership to align proposal operations with strategic goals and support the team’s long-term growth.

What We’re Looking For On Your Resume

  • We focus more on capability and outcomes produced than “typical qualifications” / years of experience. This space is designed to help candidates understand what is truly most important for them to have done and answer, “Do I have what this role would need?” You may not “check all of the boxes” and that’s okay. We’re looking for a perfect person, not the perfect resume.
  • Proven track record of success in roles requiring meticulous attention to detail and process management, such as proposal writing, proposal management, technical writing, administrative support for complex projects, or project coordination. Demonstrate your ability to improve efficiency or maintain high standards in fast-paced environments.
  • Exceptional command of written and spoken English, with a demonstrated ability to craft clear, concise, and compelling narratives. You should have experience distilling complex information into easily digestible content and effectively communicating with diverse stakeholders.
  • Demonstrated graphic design skills with an eye for visual consistency and impact, particularly in supporting proposal creation, executive presentations, or similar business documents.
  • Hands-on experience with key software platforms, including:
  • Proposal Management: Responsive (formerly RFPIO)
  • Design & Document Creation: Adobe Photoshop, Adobe Acrobat, Adobe InDesign
  • Productivity Suites: Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides, Gmail), Coda.io
  • Collaboration and Communication: Slack
