The Senior Payroll Analyst is responsible for overseeing and ensuring the accurate and timely delivery of end-to-end payroll processes across multiple countries, in alignment with both regulatory requirements and company standards. As a key member of the Human Resources team, this role will take on advanced payroll tasks, including detailed analysis, complex payroll reconciliations, and support for compliance audits. The Senior Payroll Analyst will also act as the primary liaison with payroll vendors and serve as an escalation point for complex payroll inquiries, providing high-level support and insights to stakeholders.
This role is offered as hybrid to participate in specific events at the office in Katowice. We are only able to accept applications for those based in the Katowice area and have sponsorship to live and work in Poland #LI-Hybrid
- Payroll Processing and Compliance: Manage and execute regular (bi-weekly or monthly) payroll processing for assigned countries, ensuring adherence to country-specific regulatory requirements and company policies.
- Data Integrity and Analysis: Collect, analyze, and validate payroll data for accuracy, completeness, and compliance. Perform in-depth reconciliations between payroll and other systems, investigating discrepancies and recommending corrective actions.
- Vendor Management: Act as the primary point of contact for payroll vendors (such as Workday, ADP, ) for assigned countries, coordinating and resolving issues, and ensuring vendor performance meets service level agreements.
- Cross-Functional Collaboration: Work closely with HR, Finance, IT, and other cross-functional teams to streamline data flows, optimize payroll processes, and align on payroll-related requirements.
- Reporting and Documentation: Prepare and distribute payroll reports to internal stakeholders, ensuring timely and accurate delivery. Maintain comprehensive documentation and record-keeping of all payroll activities.
- Audit and Compliance Support: Lead and assist with internal and external payroll audits, including SOX compliance initiatives. Support quarterly and annual audit requests, ensuring adherence to regulatory standards.
- Payroll Discrepancy Resolution: Investigate and resolve complex payroll discrepancies, serving as an escalation point for employee inquiries and ensuring timely resolution.
- Year-End Tax and Reporting: Prepare and distribute year-end tax statements for employees, as required by each country’s regulations.
- Process Improvement and Systems Support: Support payroll system implementations, upgrades, and enhancements by providing process expertise, data analysis, and testing. Continuously identify and implement improvements to streamline payroll processes.
- Leadership and Mentorship: Provide mentorship and guidance to junior payroll analysts, fostering a culture of accuracy, compliance, and continuous improvement.
What we are looking for:
- 5+ years of experience in processing payroll, including payroll for multiple countries, Poland, Netherlands, UK, Germany, Sweden (required)
- Experience with payroll processing platforms (Workday, ADP Streamline, ADP Celergo, Neeyamo, etc.) and advanced Excel skills (pivot tables, VLOOKUPs)
- High level of accuracy and attention to detail, with strong analytical and mathematical skills.
- Effective communication skills in English, with the ability to convey complex payroll information clearly and concisely to employees and management (required)
- Proactive in identifying discrepancies, solving payroll issues, and suggesting process improvements.
- Familiarity with payroll compliance requirements and experience supporting internal/external audits.
