PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)
- Non-Birchstreet invoice: Enter invoices in the system, ensuring correct level of approval is obtained, forms and other documents are accomplished, correctly coded and are posted to the correct period.
- Birchstreet invoices: Review and process entered details from online invoicing system and ensure they are uploaded/transmitted into accounts payable system/s
- International invoices: obtain relevant approvals, process wire payments in banks subject to coding and enter into accounts payable system/s as required ensuring the correct currency is paid/entered
- Prepare and process payment runs (within agreed schedules or as required) with correct sign off authority.
- Transmit electronic funds transfer payments to the bank, assist with gaining approvals by signatories.
- Maintenance of supplier master files, obtaining relevant approvals.
- Monthly reconciliation of supplier statements.
- Review and process credit card/expense statements submitted and ensure they are uploaded correctly in the system.
- Assist with credit card reconciliations and any Concur Admin related task.
- Run month end reports and roll over (closing/opening) to new month/period.
- Journals and correcting entries when required in the general ledger of all companies
- Ensure that all reasonable directions given with regards to health and safety are followed, to not willfully place at risk the health and safety of yourself or
any person in the workplace and to not willfully or recklessly interfere with or misuse anything provided for health and safety.
- Effective communication between suppliers, sales & administration staff, management and accounting staff.
- Display a Count On Mel service to all internal and external parties.
- Display innovation through inspiring, creating and improving processes and products.
- Show integrity in all aspects of the position by doing the right thing, taking responsibility and delivering on the promise.
- Display leadership values by ensuring effective communication and respecting your peers and managers. Support others within the team and empower each other wherever possible.
- Adhoc accounts administration tasks assisting team leader.
- Excellent understanding of general accounting principles and procedures.
- Minimum of 2 years accounts experience preferably in Accounts Payable
- Preferred experience with Peoplesoft Financials software/ Attaché.
- Exposure to a multi-currency environment.
- Attention to detail and accuracy and ability to meet regular daily, weekly and monthly deadlines.
- Knowledge of online banking software will be considered an advantage.
- Strict enforcement of company policies and procedures.
