About the role:

As a Senior Information Management Analyst, you will play a key role in safeguarding and assuring Asset Integrity and Process Safety through the effective management and control of business-critical information.

You will take responsibility for Information Management and Document Control services, ensuring that documents, drawings, registers and associated information are appropriately controlled, maintained, protected, retrievable and archived throughout their lifecycle.

Working closely with internal stakeholders and external parties, you will provide direction and assurance around Information Management standards, procedures and regulatory requirements, while maintaining high standards of information quality, integrity and compliance.

This is a senior, hands-on role combining Information Management governance and assurance with the delivery of Document Control activities in a complex operational environment.

As the Senior Information Management Analyst, you will:

  • Manage Information Management and Document Control services, ensuring effective processes, standards and controls are maintained.
  • Support Asset Integrity and Process Safety through the effective management, protection and assurance of process safety and business-critical information.
  • Provide clear direction and assurance around compliance with statutory legislation and Information Management requirements.
  • Ensure documents, drawings and registers are appropriately controlled and maintained to required quality and compliance standards.
  • Review information prior to filing and publication, ensuring documentation meets company quality requirements and is accurately categorised.
  • Ensure Information Management and Document Control activities comply with relevant regulatory requirements, including NSTA obligations.
  • Maintain compliance with company procedures, standards and Information Management expectations.
  • Maintain and support the BMS performance management process and associated system.
  • Manage the distribution and control of internal and external documentation, maintaining effective information flows across relevant stakeholders.
  • Build productive working relationships with internal departments and external parties to ensure information is accurate, complete and appropriately managed.
  • Support the management of large volumes of structured and unstructured data to meet operational and business requirements.
  • Manage the production of Document Control reports and the tracking of documents and drawings.
  • Coordinate regular Information Management assurance activities, including the management and assurance of controlled hard-copy drawings.
  • Manage and assure document numbering processes across Asset and Functional teams.
  • Maintain effective document retention, retrieval, archiving and records management processes.
  • Identify opportunities to strengthen Information Management controls, processes, data quality and overall compliance.

Requirements
  • Significant experience within Information Management, Document Control or a related discipline in the energy, oil & gas, engineering or another complex regulated environment.
  • Strong understanding of Information Management and Document Control standards, processes and governance.
  • Experience managing business-critical engineering and operational information, including documents, drawings and registers.
  • Strong understanding of document lifecycle management, including quality control, classification, distribution, revision, retention, retrieval and archiving.
  • Experience providing assurance against Information Management procedures, standards and regulatory requirements.
  • Knowledge of regulatory and compliance requirements relevant to Information Management within the energy sector, with knowledge of NSTA requirements advantageous.
  • Experience managing document numbering, document and drawing tracking and associated reporting.
  • Experience working with both structured and unstructured information and maintaining high standards of information quality and integrity.
  • Good working knowledge of Electronic Document Management and Information Management systems.
  • Strong analytical and problem-solving skills with excellent attention to detail.
  • Excellent communication and stakeholder management skills, with the confidence to work effectively across internal teams and external parties.
  • A proactive and organised approach, with the ability to take ownership, manage competing priorities and work independently.
