POSITION SUMMARY:
The Senior HRIS & Benefits Specialist serves as GreenMark's subject matter expert for human resources information systems, employee benefits, payroll administration, and HR analytics. This position is responsible for optimizing HR technology, ensuring data integrity, administering employee benefit programs, leading the annual Open Enrollment process, and delivering responsive support to employees, leaders, and benefit partners. The role partners closely with HR leadership, Finance, managers, and external vendors to improve operational efficiency, maintain compliance, and enhance the employee experience.
ESSENTIAL FUNCTIONS:
HRIS Administration & System Optimization
- Serve as the primary administrator and subject matter expert for Paycom, ensuring employee processes and workflows operate efficiently throughout the employee lifecycle while continuously optimizing system capabilities, automation, and data integrity.
- Administer employee lifecycle transactions, including onboarding, I-9 and E-Verify compliance, employee changes, organizational updates, offboarding, and HR record maintenance.
- Lead the implementation of new Paycom functionality and partner with HR leadership to improve workflows, expand system use, and reduce manual processes.
- Maintain organizational structures, employee records, reporting relationships, and related information in Paycom and GreenMark Connect; conduct routine audits to ensure accuracy and compliance.
Payroll & Compensation Administration
- Process bi-weekly payroll accurately and timely in accordance with established controls, company policies, and applicable requirements.
- Administer payroll-related activities, including technician labor imports, commissions, incentive and bonus payments, reimbursements, retirement contributions, garnishments, support orders, and payments for independent contractors.
- Review timekeeping, PTO and punch requests, accruals, vacation rollovers, part-time employee eligibility, unpaid time off, and other payroll adjustments for accuracy and policy compliance.
- Coordinate annual payroll and retirement plan activities, including audits, reconciliations, true-up processes, and year-end requirements.
Benefits Administration
- Serve as the primary administrator for GreenMark's employee benefit programs and the primary point of contact for employees regarding enrollment, eligibility, claims, qualifying life events, and benefit-related processes.
- Lead and champion annual Open Enrollment, including planning, communications, vendor coordination, system configuration, testing, employee education, location visits, and successful execution.
- Develop and deliver year-round benefit education and conduct comprehensive benefit orientation for all new hires.
- Serve as GreenMark's primary liaison with insurance carriers, brokers, retirement plan administrators, and other benefit partners to resolve issues, support renewals, implement plan changes, and maintain strong service levels.
- Serve as the primary administrator for unemployment claims, ensuring timely responses to state agencies, maintaining required documentation, and coordinating with managers throughout the claims process.
- Administer benefit-related processes, including vendor payments, FMLA documentation, Short-Term Disability claims and payments, ACA eligibility reporting, and Motor Vehicle Record requirements.
HR Analytics, Reporting & Compliance
- Serve as the HR team's subject matter expert for workforce analytics, dashboard development, and HR reporting.
- Develop and distribute recurring workforce metrics, payroll analytics, weekly termination reports, monthly turnover reports, and other reporting that supports business decision-making.
- Complete required regulatory reporting, including EEO-1 and Bureau of Labor Statistics Multi-Worksite Reports.
- Maintain accurate, confidential, and audit-ready HR records; support internal and external audits related to HRIS, payroll, benefits, retirement plans, and regulatory compliance.
- Develop and maintain standard operating procedures and recommend process improvements that enhance efficiency, accuracy, and consistency.
Employee Programs & Additional Responsibilities
- Administer employee apparel and uniform programs, annual eligibility tracking, and referral bonus administration and communications.
- Leverage artificial intelligence (AI) and emerging technologies to improve productivity, streamline HR processes, enhance decision-making, and increase the effectiveness of HR services while exercising sound judgment, maintaining appropriate human oversight, and protecting confidential information.
- Support HR initiatives, special projects, and continuous improvement efforts as assigned.
TRAVEL REQUIREMENTS:
This position requires periodic travel between GreenMark locations for meetings, onboarding, training, and other business needs. Travel to all GreenMark locations is required during the annual Open Enrollment period.
QualificationsQUALIFICATIONS:
Education & Experience
- Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, Information Systems, or a related field preferred.
- Minimum of seven (7) years of progressive experience in HRIS administration, employee benefits, payroll, HR operations, or a closely related field.
- Demonstrated experience administering an HRIS and leading system optimization, implementation, or process improvement initiatives required; Paycom experience strongly preferred.
- Experience administering employee benefit programs and leading Open Enrollment required.
- Experience processing payroll and supporting multi-state payroll, retirement plan administration, and regulatory reporting preferred.
Knowledge & Skills
- Advanced knowledge of HRIS administration, payroll, benefits, employee data management, and HR reporting.
- Ability to translate business needs into efficient system workflows, practical solutions, and clear operating processes.
- Strong analytical skills with the ability to identify trends, resolve discrepancies, and communicate insights through reports and dashboards.
- Proven ability to manage complex, deadline-driven processes with a high degree of accuracy and attention to detail.
- Strong communication and relationship-building skills with employees, leaders, Finance, vendors, and benefit partners.
- Sound judgment and discretion when handling confidential and sensitive employee information.
- Ability to prioritize multiple responsibilities, adapt to changing business needs, and support continuous improvement in a multi-location environment.
- Proficiency with Microsoft Office Suite, particularly Excel, and the ability to learn and maximize business technologies.
PHYSICAL REQUIREMENTS:
This position primarily works in an office environment and requires the ability to regularly sit, stand, and walk throughout the workday. The employee frequently uses a computer, keyboard, telephone, and other office equipment while communicating with employees, customers, and vendors. Occasional lifting, carrying, pushing, or pulling of materials weighing up to 20 pounds may be required. The position requires repetitive hand and wrist movements, the ability to read computer screens and documents, and occasional travel between GreenMark locations. Use of personal protective equipment (PPE) may be required when entering shop, warehouse, or customer work areas.
