Responsibilities:
- Act as the main point of contact for managers, clients and other personal within the Corporate and Investment Bank
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on leaderships behalf
- Prepare briefings, agendas and presentation decks as needed
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Calendar Management: scheduling, making appointments and prioritizing the most sensitive matters
- Calling candidates and scheduling/coordinating interviews based on managers availability
- Take minutes during meetings
- Book travel and process associated expense reports
- Answering phone calls in a polite and professional manner and direct calls to the appropriate person
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Act as an office manager by keeping up with office supply inventory
- Assist other EA’s as needed on broader corporate events and/or provide backup support to their line of business and/or geography
Qualifications:
- Minimum of 5 years of work experience as an Executive Assistant, Personal Assistant or similar role
- Strong proficiency in Microsoft Office
- Exceptional calendar and time management skills
- Experience with utilization and reporting within Salesforce
- Excellent verbal and written communications skills
- Strong judgement, discretion and confidentiality skills
- Bachelor’s degree preferred
- PA diploma or certification is a plus
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
