About the Role

We are seeking a Senior Executive Assistant to join our high-performing, fast-paced team. This role is ideal for an experienced administrative professional (9+ years) who thrives in complex environments and brings a polished, confident presence while supporting seasoned operators and investors. You will serve as a trusted partner to a Senior Partner, helping manage demanding schedules, high-stakes meetings, global travel, and constantly shifting priorities with exceptional organization, judgment, and discretion.

The right person is proactive, detail-oriented, and calm under pressure — someone who stays several steps ahead, communicates thoughtfully, and creates clarity and efficiency for the executive. This role requires strong follow-through, adaptability, professionalism, and a genuine service mindset, along with the ability to operate independently while handling highly sensitive information with care and integrity.

Key Responsibilities
  • Provide proactive, high-level administrative support to a Senior Partner, ensuring smooth daily operations and alignment with evolving priorities

  • Take full ownership of a demanding and complex calendar, scheduling internal and external meetings across time zones while continuously adjusting to new priorities and time-sensitive changes.

  • Coordinate all aspects of frequent domestic and international travel, including multi-leg itineraries, visa requirements, and unexpected adjustments, often on tight timelines.

  • Closely monitor the executive’s schedule, flagging conflicts, sharing relevant context, and ensuring they’re fully prepared for every meeting and commitment.

  • Prepare and submit accurate, timely expense reports; maintain organized records and manage reconciliation with strong attention to detail.

  • Monitor and communicate relevant meeting or schedule context (cancellations, shifts, or prep needs) with a clear, thoughtful, and timely approach

  • Draft and manage correspondence, reports, and meeting materials with clarity, warmth, and professionalism, often working independently with minimal oversight.

  • Handle highly sensitive information with discretion, sound judgment, and the highest level of integrity.

  • Serve as a trusted partner, anticipating needs, staying several steps ahead, and taking initiative to resolve issues before they escalate.

  • Step in to support fellow Executive Assistants when needed, contributing to a highly collaborative and dependable administrative team.

Qualifications
  • 9+ years of experience providing high-level support to senior executives in demanding, fast-paced environments.

  • Proven ability to manage complex and constantly shifting calendars, including seamless coordination of international meetings and travel.

  • Recognized for attention to detail and strong follow-through, with a track record of managing multiple priorities without letting anything fall through the cracks.

  • Highly responsive and adaptable, able to stay composed and effective in fast-changing situations.

  • Demonstrates strong strategic thinking and problem-solving skills; anticipates needs, communicates proactively, and removes obstacles with minimal oversight.

  • Exceptional communication skills, representing executives and the organization with professionalism, clarity, and a warm, confident presence.

  • Exercises excellent judgment and discretion in handling sensitive and confidential information.

  • Proactive and intellectually curious: a dependable self-starter and collaborative team player who takes initiative and supports colleagues readily.

  • Must provide outstanding professional references that reflect a consistent record of reliability, resilience, and high performance.

Location
  • San Francisco, hybrid work model. Tuesday, Wednesday and Thursday onsite is required

Compensation
  • The annual base salary range for this role is $182,500 - $192,500, taking into account numerous variable factors that are considered in making compensation decisions including but not limited to skill sets, experience, training, licensure, certifications, and organizational requirements.
