NASCAR is seeking an experienced Senior Coordinator, Hospitality to help shape and deliver world-class hospitality experiences for premium guests, partners, and consumers. This role will drive thoughtful planning, seamless execution, and a hospitality-first approach across NASCAR events while helping create memorable experiences that reflect the NASCAR brand and our commitment to excellence in live events.

This position will work closely with the Managing Director of Hospitality and cross-functional partners to advance best-in-class guest experiences across NASCAR.

Based in Daytona Beach, FL or Charlotte, NC.

What You’ll Do

  • Deliver exceptional hospitality experiences by anticipating guest needs, creating personalized experiences, resolving challenges with professionalism, and ensuring every interaction reflects NASCAR’s hospitality standards.
  • Plan and execute logistics for NASCAR suite hospitality and select consumer experience programs, serving as a key point of contact during load-in, event days, and load-out while conducting quality assurance walkthroughs.
  • Manage the premium guest journey from invitation through post-event follow-up, independently addressing guest concerns with urgency, professionalism, and a hospitality-first mindset.
  • Manage operational execution for assigned hospitality areas, including setup and breakdown, signage, décor, catering coordination, transportation schedules, vendor activations, and other premium hospitality elements.
  • Serve as an operational liaison with approved vendors, contractors, and agencies to coordinate deliverables, schedules, and event-day logistics.
  • Own guest management processes for assigned events, including guest lists, seating charts, invitation distribution, RSVP tracking, Know Before You Go communications, and on-site registration tools.
  • Develop, maintain, and distribute event production materials, including run-of-show schedules, credential lists, signage templates, diagrams, guest-facing materials, and post-event documentation.
  • Manage assigned hospitality budgets, support forecasting, reconcile invoices, maintain internal documentation, review creative assets for accuracy, and oversee hospitality inventory.
  • Partner cross-functionally with Marketing, Partnership Marketing, Creative Services, Production, Operations, and other departments to align hospitality deliverables, timelines, guest communications, and event execution.
  • Lead post-event recaps for assigned programs, gather stakeholder and guest feedback, identify operational and service opportunities, and recommend improvements for future events.

What You’ll Bring

  • Minimum of 2–4 years of professional experience in event coordination, hospitality, guest services, or live event operations; relevant internship experience may be considered.
  • Demonstrated experience supporting or executing premium hospitality, luxury guest experiences, sports hospitality, hotels, resorts, restaurants, or other high-touch live events preferred.
  • A strong hospitality-first mindset with a passion for creating memorable guest experiences and delivering service that exceeds expectations.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills and the ability to work effectively with executives, partners, vendors, guests, and cross-functional teams.
  • Strong ownership mindset with the ability to anticipate needs, identify potential issues, recommend solutions, and independently resolve challenges in real time.
  • Professional presence and interpersonal skills with the ability to represent the NASCAR brand with confidence and professionalism in front of executives, partners, and VIP guests.
  • Strong attention to detail and an understanding that premium hospitality is built through thoughtful execution and meaningful guest interactions.
  • Ability to remain calm under pressure, adapt quickly, and provide effective service recovery when unexpected situations arise.
  • Proficiency in Microsoft Office Suite; experience with guest management platforms and/or registration software is a plus.
  • Commitment to continuous learning in service excellence. Familiarity with Unreasonable Hospitality by Will Guidara and The New Gold Standard by Joseph Michelli, or a willingness to study and apply their principles, is preferred.
  • Ability to travel approximately 50–60%, including nights, weekends, short-notice travel, and multi-day events, as business needs require.
