About the Role
We are looking for a Travel & Office Assistant to join our People & Operations team in Uzhgorod. This role is focused on supporting business travel within Ukraine while also helping ensure the local office runs smoothly day to day. You will coordinate travel logistics, manage related documentation and expense tracking, and support visitors and office operations with a hands-on, on-site presence.

This is a great opportunity for someone who is organized, responsible and comfortable managing logistics, payments, documentation, and in-person coordination.
What You’ll Do:

 - Travel Management & Logistics
Coordinate and book business trips within Ukraine, including transportation and accommodation.
Support travel-related payments, expense tracking, and documentation in line with company processes.
Prepare and maintain administrative and financial records needed for reporting.
 - Office Presence & Visitor Experience
Welcome visitors and newcomers to the Uzhgorod office and help ensure a positive experience.
Provide practical support to visitors, including workspace setup, local guidance, and coordination help.
Manage incoming and outgoing office deliveries and shipments.
 - Operational Collaboration
Coordinate with the broader office administration team to help keep the office stocked and running smoothly.
Report local office maintenance, utility, appliance, or security issues as needed.
Support local execution of internal events, celebrations, and team activities.
What We’re Looking For:
1-3 years of experience in office administration, travel coordination, or a similar logistics-heavy role.
Experience handling documentation, expense tracking, reporting, or payments with a high level of accuracy.
Strong organizational skills and the ability to coordinate multiple requests and follow through reliably.
Confidence using travel booking tools and working with transportation and logistics processes.
A professional, welcoming communication style and the ability to work with both local and international stakeholders.
At least intermediate level of English for written and spoken communication.
Ability to work on-site from our Uzhgorod office on a daily basis.
