We are currently recruiting for a Senior Assistant to provide high-level administrative support and service to the Country Manager for Portugal & Spain and his team.
In this role you will be a trusted partner to senior leadership, managing complex schedules, coordinating across teams and stakeholders, and handling a wide range of administrative and organizational responsibilities with discretion and efficiency. You will also play a key role in ensuring the smooth running of day-to-day operations at the highest level of our organization.
The position reports to the Head of Sales Pt & Country Manager Portugal & Spain and is based in Oeiras, Portugal.
What you will do:
- Provide support to the Country Manager Pt & Sp with calendar management, diary organization and meeting bookings. If needed support other Managers within the scope.
- Plan and coordinate internal and external events, such as customer and internal meetings, workshops, and meetings with government authorities.
- Gather information, create presentations, and capture meeting minutes, as required.
- Assist in managing relationships with key internal and external stakeholders.
- Generate Purchase Orders and process invoices through SAP.
- Provide support for the use of Ericsson administrative tools and other general tools.
- Assist with travel arrangements and travel expense claims.
- Handle entry and exit administration and provide management support.
- Drive improvement and implementation of administrative routines.
- Uphold high standards of ethics, compliance, and integrity within the organization by consistently integrating ethical considerations into every action.
You will bring:
As our ideal candidate, you will have:
- Previous experience of at least 10 years as an Assistant, Senior Assistant, Executive Assistant or in equivalent roles in multinational companies.
- Fluent English and Portuguese (mandatory), Spanish (nice to have)
- Excellent command of corporate protocol and stakeholder etiquette, with demonstrated ability to engage effectively and appropriately with senior executives, clients, and institutional or governmental representatives.
- Exceptional planning, coordination, and organizational skills, with demonstrated ability to manage complex executive calendars, orchestrate high-level meetings and events, and ensure efficient alignment across multiple stakeholders and priorities.
- Ability to handle sensitive and confidential information with discretion.
- Exceptional written and verbal communication skills, with a high degree of attention to detail.
- Proficiency in SAP, Concur, Success Factors and other travel booking systems.
- Experience in fast-paced, matrixed environments supporting a Leader.
- Strong time management skills.
- Positive and can-do attitude.
- Ability to think laterally and multitask effectively.
- Advanced knowledge of MS Office applications (Excel, PowerPoint, Word), Outlook, and conference equipment.
