About the RoleRamp needs a highly organized operator to make immigration and mobility work feel clear, responsive, and scalable. This role will spend roughly half its time coordinating active cases and employee communications in tandem with an external counsel program with embedded services, and half building the workflows, dashboards, AI tools, and operational infrastructure that reduce manual work.
The Associate will operate within established policies, escalate legal or non-standard issues promptly, and streamline operations for scale.
What You'll DoCase coordination and employee service (~50%)Coordinate active immigration, work-authorization, relocation, and business-travel cases with employees, external counsel, vendors, and internal partners.
Maintain accurate case trackers, deadlines, required documents, status updates, and handoffs from intake through completion.
Give employees timely, compassionate, plain-language process updates; route legal questions, pathway decisions, and exceptions to counsel or the Lead.
Surface cases at risk early and ensure the right owner has a clear next action.
Support our external counsel’s embedded services by providing dependable operational support, case updates, and guidance within approved policies.
Build and maintain centralized workflows, intake forms, templates, knowledge resources, and AI-enabled tools that streamline routine work.
Own the immigration and mobility case tracker and dashboard: data quality, reporting, aging cases, key dates, operational metrics, and risk visibility.
Turn recurring employee and stakeholder questions into approved self-service content and consistent communication templates.
Test and document tools and automations with appropriate privacy, data-quality, and human-escalation controls.
Identify recurring friction in cases, handoffs, and vendor interactions; bring specific improvement recommendations to the Lead.
Prepare case trends, SLA performance, employee feedback, and unresolved risks for vendor/counsel meetings and QBRs.
Follow through on vendor commitments and escalate missed deadlines, unclear ownership, and repeat quality issues.
Keep playbooks, templates, and operational documentation current; help build team coverage and continuity.
3+ years in People Operations, immigration operations, global mobility, employee lifecycle operations, or another high-detail service environment.
Strong process-management skills, attention to detail, and proven ability to manage many deadlines without dropping follow-through.
Hands-on experience improving a workflow with AI, automation, spreadsheets, dashboards, ticketing, or related tools.
Clear, empathetic written communication and sound discretion with sensitive employee information.
Comfort working within defined policies, recognizing risk, and escalating promptly.
Experience coordinating immigration, work authorization, relocation, or external counsel/vendor workflows.
