Job Title: Senior Administrative Assistant

Summary:The Technology Administrator is responsible for purchasing chemicals and supplies for the technology team, the shipping and receiving of goods and samples, and providing support in the areas of site Maintenance and EHS at our Waterford, NY location.

Responsibilities Include:

Purchasing and Building Support: Execute site purchases through the use of purchasing cards and SAP purchase requisitions, receiving invoices, and monthly reconciliation of expenses.

  • Basic care and stocking of office facilities (kitchens, copiers, meeting rooms), managing facility vendors to expectations (cleaning, copiers), and entering maintenance and repair work order requests.

  • Maintain and update supplies of gas cylinders, dry ice, lab coats, etc.

  • Providing support for key maintenance projects

  • Ability to cover other technology center administrative responsibilities on a short-term basis to bridge temporary openings. 

  • Assist with the annual inventory of supplies and materials.

Shipping & Receiving: Execution of site Shipping & Receiving Operations covering all chemical and non-chemical packages and ensuring compliance with applicable regulations governing the transport of materials, both domestic and international. Principal duties require the preparation of material for transport including:

  • Gathering material identification and classification.

  • Ensuring emergency notification requirements are met when applicable.

  • Work with Area Waste Technician and Site Shipping through SAP and site procedures to ensure paperwork preparation, including bill of lading, restricted article forms, manifest, customs documentation, air-bills, and proper labeling of sample shipping.

  • Maintenance of all necessary shipping documentation to ensure compliance with DOT, I.A.T.A., and I.C.A.O. regulations.

  • Receiving shipments of chemicals, supplies, and materials.

Qualifications:

The following are required for the role

  • Associate's degree -OR- high school diploma and three years relevant experience

  • Proficient in the use of Microsoft Office (Outlook, Word, PowerPoint, Excel) or similar business systems

  • Demonstrated strong customer focus orientation and teamwork.

  • Strong organization and time-management skills with a track record of efficient and reliable execution of responsibilities that align with the needs of this role and are backed by references.

The following are preferred for the role

  • Basic finance or accounting courses completed.

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Regularly required to sit, talk, and hear, use hands to type, handle or feel. The employee is frequently required to reach with hands and arms. Visual acuity to use a keyboard, prepare and analyze data and figures, transcribe, viewing a computer terminal, and do extensive reading. May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk, lift, carry, and move light to medium weight. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and learn technical information.
