Job Description

Solaris is seeking a highly organized, proactive, and resourceful Senior Administrative Assistant to provide administrative and operational support to senior leaders and their teams. This role requires strong judgment, attention to detail, discretion, and the ability to anticipate needs while managing multiple priorities in a fast-paced environment.

The ideal candidate is a polished and dependable professional who takes ownership, communicates effectively across all levels of the organization, and can operate independently with limited direction. This individual will play an important role in helping leaders and teams stay organized, prepared, and focused on business priorities.

Qualifications

Essential Functions

  • Provide comprehensive administrative support to senior leaders and their respective teams.

  • Manage complex calendars, including scheduling meetings, resolving conflicts, and coordinating internal and external appointments.

  • Coordinate domestic and international travel arrangements, including flights, lodging, ground transportation, and detailed itineraries.

  • Prepare and process expense reports and assist with reconciliation of corporate card expenses.

  • Coordinate meetings, including scheduling, conference room reservations, technology needs, catering, agendas, and other meeting logistics.

  • Prepare, format, proofread, and edit presentations, reports, correspondence, and other business documents.

  • Serve as a professional point of contact for internal and external stakeholders and appropriately prioritize requests.

  • Anticipate the needs of supported leaders and proactively address scheduling, logistical, and administrative matters.

  • Assist with planning and coordinating team meetings, leadership meetings, events, and other company activities.

  • Maintain confidential and sensitive business information with a high level of discretion.

  • Organize and maintain electronic files, records, contact information, and other administrative resources.

  • Support onboarding and administrative coordination for new team members as needed.

  • Partner effectively with other administrative professionals and departments across the organization.

  • Assist with special projects, research, reporting, and other business needs as assigned.

  • Identify opportunities to improve administrative processes, organization, and efficiency.

  • Perform other duties and responsibilities as assigned.
