Carnegie Mellon, one of the world leaders in higher education and research, is seeking an experienced and dedicated Senior Administrative Assistant to join the UEIS division. In this role you will report to the Executive Assistant to the Dean. You will support and assist UEIS leadership, faculty, and staff as they partner with leaders across the university to align with the strategic goals and objectives of the university to augment and improve the research landscape for both students and our world-class faculty.

Primary responsibilities include administrative-level support which includes calendar management, project management, making appropriate referrals, coordinating travel, processing expense reports/reimbursements and supporting high-level special events and meetings. This position serves as a liaison with various departments as well as external contacts.

Core responsibilities will include:

  • Office Management: Manage the day-to-day operations of the Director of the ETC’s Office environment. Ensure faculty and staff have the supplies and support to effectively perform their responsibilities. Answer and re-direct telephone calls as needed.
  • Calendar and Meeting Management: Manage the calendars of UEIS senior leadership. Print and prepare materials (including agendas, meeting notes, and action items) in support of effectively managing the time of the leadership. You will proactively meet with leadership to review and manage schedules, obtain materials needed for meetings, and schedule meeting locations.
  • Event Management: Assist UEIS senior leadership with scheduling and managing events, including reserving locations, ordering catering, welcoming, and assisting guests, and managing any issues.
  • Business Office Support: Process expense reports and reimbursements, and purchase card reports.
  • Travel support: Assist UEIS leadership and guests in booking and reimbursing travel for University/Library-sponsored activities.
  • Assist with special projects, as needed
  • Perform related duties as assigned.

  • Oral and written communication skills
  • Administrative support experience
  • Ability to pay close attention to detail; keep and maintain accurate and detailed reports and records.

Qualifications:

  • Associates Degree in Information Management, Finance, Economics, Business Administration, or related field.
  • A minimum of 2 years’ experience managing an office environment.
