Reporting to the Senior Executive Assistant to the CEO/CIO, the Senior Administrative Assistant is detailed oriented, and performs a wide range of administrative functions, in support of the efficient operation of the Office of the CEO/CIO, adapting to frequent changes in priorities and deadlines within a confidential environment. The Senior Administrative Assistant also serves as backup to the Senior Executive Assistant as and when required.

As the first point of contact for the CEO and executive office, you will represent the corporation with professionalism and demonstrate professional standards and expectations of the department.

WHO YOU WILL WORK WITH

The CEO/CIO is responsible for the management of BCI, reporting to BCI’s Board of Directors with respect to the operations of the corporation, and to BCI’s clients with respect to the management and investment performance of our funds.

WHAT YOU BRING
  • 3+ years of experience providing administrative support at executive level

  • Proficient skills in Microsoft Office, Adobe, SharePoint, Workday

  • Ability to work effectively in a close interdependent team environment

  • Strong organizational skills with a high attention to detail

  • Ability to multi-task in reaction to changing priorities

  • Good judgment and problem-solving skills

  • Ability to be diplomatic, tactful and use discretion in a highly confidential environment

  • Ability to handle pressure situations

WHAT YOU WILL GET TO DO

The Senior Administrative Assistant collaborates closely with the Senior Executive Assistant to carry out the subsequent duties:                

  • Coordinates domestic and international travel and accommodation for the CEO/CIO and Board, with a strong understanding of booking policies

  • Administers travel approval requirements relating to the above-noted travel, including visas and applicable travel documents

  • Completes travel and business expenses, relating to the Office of the CEO/CIO and Board Directors in Workday

  • Reconciles monthly credit card reports in Workday within deadlines

  • Reviews the CEO’s quarterly expense reports and collaborates with the Corporate Accounting team in rectifying variance

  • Manages the upkeep of the CEO/CIO’s Outlook Contacts Directory

  • Maintains and organizes the Office of the CEO/CIO’s Digital Filing System in SharePoint

  • Screens incoming phone calls and visitors to determine the nature and priority of the inquiry/ request

  • Coordinates and arranges all logistics for both onsite and offsite activities of the Executive Committee and the Board, and makes required adjustments promptly to accommodate unforeseen schedule requirements

  • Maintains membership and subscription renewals of the Office of the CEO/CIO and Board

  • Supports miscellaneous administrative tasks

  • Is cognizant of policy and directive changes and informs the Office of the CEO/CIO accordingly

  • Actively adheres to compliance and risk management policies, and participates in business continuity planning

WHERE YOU WILL WORK

Work from our downtown Victoria office. We are an in-person collaborative organization with the flexibility to work remotely 1-day a week.

SALARY RANGE

BCI offers a competitive total rewards package which includes a performance-based incentive plan, comprehensive health & dental benefits, a defined benefit pension plan and paid time off.

The annualized base salary range for this Victoria-based role is CAD $66,000 - $77,000.

The base salary offered to the successful candidate will consider a wide array of factors including but not limited to the individual’s skill set, level of experience applicable to the role they are being offered and consideration to internal equity.

We pay our people competitively in the markets in which we operate and with consideration to internal equity and job structure. We aim for actual pay to be around the median of the market for target or expected levels of performance, and around the upper quartile of the market for excellent performance.
