About the Role:
As a rapidly growing organization, we are looking for a Scheduling Coordinator full-time (typically 8am-5pm ET schedule, with flex to occasionally offer coverage for a 6am-3pm schedule when needed) to manage client and provider rescheduling needs, which helps optimize the utilization of our clinician availability. The Scheduling Coordinator will ensure accurate usage of billable and non-billable codes, identify trends with clinician and family cancellations, and optimize meeting the medical recommendation of service hours through proactive rescheduling. The ideal candidate will be detail oriented and confident in navigating time-sensitive conversations with current families and clinicians to ensure the continuity of client care through same day and future rescheduling across multiple locations.
Responsibilities
- Input client and staff scheduling changes with high attention to detail to ensure data integrity
- Oversee staffing substitutions, enabling clinicians to cover open staffing needs upon call-outs, and arranging for timely replacement of clinicians where appropriate
- Assist with same-day call-out processes as needed to ensure coverage and minimize service disruptions. On such days when a team member is out of the office (e.g., PTO), your hours would shift from 6am-3pm ET that day.
- CentralReach practice management software, across all clinical service locations
- Oversee and manage the input and tracking of all hourly clinicians’ availability and service schedules
- Review terminated and on-leave employees and update CR calendars as appropriate
- Support payroll functions by stewarding timely CentralReach (CR) conversions and completing timesheet audits
- Audit CR code and PTO usage to ensure accurate payroll processing and utilization tracking.
- Provide a superior experience for all stakeholders with kind, timely, and clear communication across all channels
- Steward new processes overseen by Scheduling, partnering with team members to execute innovative scheduling and time off best practices

Role Qualifications:

- Familiarity with ABA and Autism services, and/or CentralReach platform highly preferred
- Proficiency with scheduling in CentralReach and using Microsoft Office
- MUST live in East Coast time zone
