About the Opportunity   

The Scheduling Coordinator coordinates clinical placements and systems documentation for students in the School of Nursing.  The Scheduling Coordinator fosters and develops relationships with clinical partners in the community, including facilitating acquisitions, monitoring and evaluation of clinical sites for nursing courses and student experiences.  The Scheduling Coordinator also develops and maintains the clinical schedule and clinical data systems.   

Key Responsibilities 

  • Serves as the liaison for clinical facilities, nursing faculty, and students for all clinical placements and requirements.   

  • Fosters and develops relationships with clinical partners, including working with School of Nursing leadership in acquiring, monitoring and evaluating clinical sites for nursing courses and student experiences.   

  • Provides student rosters and site information to course faculty and clinical sites prior to the start of each semester.  

  • Maintains and manages the clinical schedules for all clinical experiences related to the School of Nursing throughout the semester, including absences and snow emergencies. 

  • Collaborates with faculty and agencies regarding clinical need and any student or course related issues that may arise.   

  • Maintains clinical records including pertinent information regarding clinical agencies, preceptors, and students. 

  • Develops and maintains a scheduling database of clinical information. 

  • Collaborates with Office Manager in the identification, development, and maintenance of clinical sites and predicts usage to meet student needs. 

  • Tracks and monitors clinical programs and provides reports for analysis and adjustments. 

  • Provides assistance to accreditation processes as necessary and required.  

  • Supports the School of Nursing Leadership in the effective and efficient leadership of clinical education. 

  • Conducts clinical site visits. 

  • Maintains records of completed and compliant final student clinical evaluations for all clinical courses each semester. 

  • Identifies, orients, maintains and develops a preceptor base for all clinical experiences in the School of Nursing. 

  • Participates in recruitment initiatives for prospective students in the School of Nursing. 
  • Other duties as assigned by the School of Nursing leadership.

Qualifications

What We're Looking For   

Education and Training: 

  • Associate degree required; bachelor's degree strongly preferred 

  • Prior experience in a clinical staffing or scheduling environment preferred 

  • Familiarity with clinical nursing practice and student nurse role preferred 

Knowledge/Skills/Abilities: 

  • Exceptional organizational and time management skills along with attention to detail 

  • Proficiency with computer-based applications and systems, including current word processing, spreadsheet, database and scheduling programs  

  • Excellent communication, customer relations, and interpersonal skills. 

  • Strong team building skills. 

  • Able to work cooperatively with all levels of the institution. 

  • Able to effectively respond to changing situations and priorities and problem solve with interrelated and complex schedules 

  • Demonstrates good judgment and sound decision-making skills 

  • Commitment to confidentiality and compliance with applicable regulations 

Physical Requirements and Working Conditions: 

  • Have sufficient dexterity to operate personal computers, printers, and other office equipment. 

  • Able to independently travel to various clinical locations and sites. 

  • Sufficient manual dexterity to operate personal computer and office equipment 

  • Able to stand and/or sit and continually perform essential job functions for entire workday 

  • Visual and hearing ability to perform essential job functions related to the position 

  • Able to lift and deliver lightweight packages to faculty, and other offices, or community affiliates.
