About the job:
Event Coordination
Coordinate external activities such as congresses, professional meetings, and events
Plan and facilitate internal and external meetings
Handle speakers from domestic and abroad, including travel and service coordination
Contract and Financial Management
Administer contracts and sponsorship agreements with external parties (HCO/HCP/patient organizations)
Create purchase orders (PO) and handle invoices
Process travel expenses and expense reports from external speakers
Maintain overview of spending vs. budget
Communication and Stakeholder Management
Serve as contact point for internal and external stakeholders
Ensure good information flow and coordination within the team
Handle documentation and archiving in accordance with compliance requirements
About you:
Experience and Competence – Training will be provided in these systems (highlighted in yellow in original)
Experience from coordinator, assistant, or project support roles
Documented experience with event and meeting coordination
Knowledge of contract and invoice handling
Experience with travel coordination and logistics
Experience with eBuy (purchasing and ordering system)
Experience with Meeting Select (meeting and event platform)
Experience with Candex (vendor and payment platform)
Technical Skills
Experience and ability to learn digital tools and systems quickly
Good adaptability to new technologies – including AI to simplify work, etc.
Language
Fluent Norwegian (oral and written)
English is a requirement – as most communication takes place in English, both oral and written, with internal and external stakeholders nationally and internationally
