Job Description

• Coordinates groups after booking, through arrival and after departure, including entering room lists for groups into Property Management System (PMS) and Sales System. • Verifies completeness and accuracy of information. • Sets up and maintains client files and records. • Manages group blocks and cut-off dates. • Generates and distributes reports, paperwork and/or information for client groups in a timely manner. • Manages billing and ensures payments are received. • Assists with on-site and off-site tours of the hotel. • Answers questions or concerns that the clients may have regarding rooms, hotel rates, and services. • Prepares and distributes correspondence to clients and hotel staff and maintains control log of events. • Provides guest service consistent with company’s standards and brand attributes. • Ensures groups arriving on property experience excellent guest service and follows up after group departs. • Responds to requests and resolves internal and external guests’ complaints in a timely manner or refers to the appropriate management team. • Continuously strives to improve processes and effectiveness of internal systems and procedures. • Works to understand process flow and makes recommendations to streamline processes. • Ensures that a clean, safe, hazard-free work environment is maintained. • Adheres to all company and department policies, procedures, and standard operating guidelines. • Performs other duties as assigned. • Does not provide supervision to other team members. • High school diploma or general education degree (GED). • Must be 21 years of age or older. • 1-2 years of related experience and/or training preferred. • Guest service, sales, or administrative experience preferred. • Good verbal, written, and interpersonal communication skills. • Ongoing guest service and hospitality skills. • Detail-oriented, organized, self-motivated, and values teamwork. • Working knowledge of Microsoft Office, Word, PowerPoint, and Excel. • Ability to work in a professional high-pressure environment while demonstrating and maintaining good personal relation/people skills and a positive attitude. • Ability to multitask and work well under stress. • Must be a self-starter and able to adjust to change. • Must be able to work flexible hours during the day or evening including weekends, holidays, and all blackout dates.
