The Sales Coordinator will play a key role in managing tender activities, coordinating with OEMs, and supporting the sales team across India. The role requires deep understanding of government and enterprise tender processes (GeM, CPPP, NIC, etc.), bid preparation, documentation, OEM engagement (Dell, HP, Lenovo, Acer, etc.), and proposal submission. The Sales Coordinator will act as the backbone of the sales operations—ensuring timely submission, price negotiation, and reporting for all tenders and bids.
Tender Management:
Identify, track, and manage tenders on GeM, CPPP, NIC, and PSU/Enterprise portals.
Review eligibility criteria, technical specifications, and scope of work for each tender.
Coordinate with the sales and technical teams to prepare bid documents, BOQs, compliance sheets, and pricing.
Ensure timely submission of bids (online/offline) as per deadlines and tender requirements.
Maintain a centralized database of all tenders, submissions, and outcomes.
OEM Coordination:
Liaise directly with major OEMs such as Dell, HP, Lenovo, Acer, HPE, Cisco, Microsoft, and others for price support, authorization letters, and technical clarifications.
Request and follow up for special pricing, project registration, and discounts from OEMs.
Maintain and update OEM contact database and relationship matrix.
Ensure compliance with OEM policies and documentation requirements.
Sales Operations Support:
Act as the single point of contact for all sales team reporting, coordination, and administrative support.
Assist the sales team in proposal creation, quotations, and commercial documents.
Track and report sales funnel, bid status, win/loss ratio, and tender performance.
Coordinate between internal teams (Finance, Legal, Technical) for approvals, documentation, and submissions.
Ensure accurate filing and documentation of all correspondence, tenders, and contracts.
RequirementsRequired Skills and Qualifications:
Bachelor’s Degree (preferably in Business Administration, Commerce, or Engineering).
3–6 years of experience as a Sales Coordinator / Tender Executive / Bid Executive in IT hardware, infrastructure, or system integration companies.
Hands-on experience with Government e-Marketplace (GeM) and other e-tendering platforms.
Strong knowledge of tender documentation, financial formats, EMD, and BG submission.
Good understanding of IT hardware and software products (Servers, Laptops, Desktops, Storage, Networking, etc.).
Established relationships or working experience with OEMs such as Dell, HP, Lenovo, Acer, etc.
Excellent communication and negotiation skills.
Proficiency in MS Office (Excel, Word, PowerPoint) and online tendering portals.
Strong attention to detail, documentation skills, and ability to handle tight deadlines.
