How will you make an impact & Requirement

Role Mission 

As a Sales Administrator, you will play a key role in supporting our sales and account management teams by ensuring the accurate and efficient processing of customer orders, invoicing, and sales administration activities. You will act as a central point of coordination between customers and internal departments, helping to deliver an outstanding customer experience and ensuring customer requirements are met right first time, every time. 

 

Key Responsibilities 

  • Process customer orders accurately and efficiently using internal systems and databases

  • Manage the end-to-end sales administration process, ensuring customer requests are handled promptly and professionally

  • Generate and process invoices, credit notes, and other sales documentation in a timely manner

  • Support the account management team with administrative activities to ensure seamless customer service and project delivery

  • Monitor and expedite customer orders and backorders, proactively following up on outstanding actions and communicating updates

  • Investigate and resolve customer queries relating to orders, invoicing discrepancies, and service requests

  • Collaborate with internal departments to ensure smooth communication and efficient resolution of customer issues

  • Produce reports and maintain accurate customer and order records within company systems

  • Ensure high levels of data accuracy and attention to detail across all sales administration activities

  • Build positive working relationships with customers and internal stakeholders to support an exceptional customer experience

  • Prioritise workload effectively in a fast-paced environment to meet deadlines and service levels. 

 

What We’re Looking For 

We're looking for a highly organised and customer-focused professional who enjoys working in a fast-paced environment and delivering exceptional service. You will have strong administrative and coordination skills, excellent attention to detail, and the ability to manage multiple priorities effectively. This role is ideal for someone who enjoys problem-solving, building relationships, and supporting a high-performing team. 

 

Essential skills and experience: 

  • Previous experience in a customer service, sales support, sales administration, customer relationship, or order processing role

  • Strong customer service mindset with a passion for delivering a positive customer experience

  • Experience processing orders, managing customer requests, or supporting account management activities

  • Good understanding of invoicing processes, including invoices, credit notes, and customer billing requirements

  • Strong Microsoft Office skills, particularly Excel, including working with spreadsheets, formulas, and data management

  • Excellent organisational and planning skills, with the ability to prioritise competing demands

  • High level of accuracy and attention to detail

  • Strong verbal and written communication skills

  • Ability to work independently while collaborating effectively with colleagues across multiple departments

  • Ability to manage workload under pressure and respond to changing priorities with a sense of urgency 

 

Desirable (but not essential): 

  • Experience working within a healthcare, life sciences, pharmaceutical, medical device, or clinical trials environment

  • Experience using ERP, CRM, or bespoke order management systems

  • Exposure to account management, customer projects, or contract administration

  • Experience producing operational or customer-focused reports

  • Understanding of supply chain, order fulfilment, or logistics processes

  • Knowledge of customer service best practices and continuous improvement principles
