ROLE

We are seeking a systems-oriented and tech-curious Sales Admin Assistant (AI Enablement & Sales Operations Focus) to support Double the Donation’s sales team by ensuring efficient execution of daily operations.

This role focuses on managing inbound demo and inquiry workflows, optimizing CRM systems, and building AI-assisted automations that streamline prospecting, outreach, and follow-ups. You will also help maintain data accuracy, documentation, and internal processes to improve overall team efficiency. The ideal candidate is detail-oriented, proactive, and thinks in systems—someone who not only follows processes but continuously improves and automates them.

RESPONSIBILITIES
  • Lead Management & Workflow Coordination: Manage and triage incoming demo requests, website inquiries, and lead submissions; optimize lead routing logic to ensure inquiries reach the appropriate sales representatives based on defined criteria.

  • CRM Administration & Data Integrity: Act as a gatekeeper for CRM data hygiene by maintaining accurate records, performing regular audits, de-duplication, and ensuring pipelines reflect real-time and reliable data.

  • Sales Enablement & Resource Creation: Create and maintain sales templates, playbooks, email sequences, and internal resources that support consistent and effective outreach.

  • Automation & AI Enablement: Build and optimize workflows and AI-assisted processes using tools such as HubSpot, Make, Clay, or similar platforms to streamline prospecting, outreach, and follow-ups while reducing manual work.

  • Process Documentation & Knowledge Management: Maintain clear and organized documentation of sales processes, SOPs, and internal systems to ensure consistency and scalability across the team.

  • Workflow Optimization & Process Improvement: Identify operational bottlenecks and proactively implement automation, integrations, or system improvements to enhance efficiency.

  • Reporting & Analytics Support: Assist in building dashboards and generating reports to track key sales metrics such as response times, conversion rates, and pipeline performance.

  • Prospecting & Data Enrichment: Support outbound efforts by leveraging tools such as LinkedIn Sales Navigator, Clay, or similar platforms to build, clean, and enrich prospect lists.

  • Cross-functional & Client Communication: Support Provide occasional support for client-facing communication through clear, professional written responses.

SETUP
  • This is a work-from-home setup.

  • You would work during US EST Hours (Approx. 8 or 9 am to 5 or 6 pm EST)

REQUIREMENTS
  • Based in the Philippines with consistent availability for a long-term role

  • Highly organized with strong systems thinking and process optimization skills

  • Experienced with CRM platforms, automation tools, and AI-enabled workflows

  • Proactive team player eager to learn and implement AI-driven solutions in a fast-paced environment

  • Strong written and verbal English communication skills

  • Strong academic background with an outstanding General Weighted Average

Paid vacation time

  • 20 days accrued annually

  • These paid days off each equate to 8.0 hours of billable time.

  • Expect to use 5 of the days during the Christmas – New Year’s period.

Paid sick time

  • 5 sick days off annually

Paid life leave*

  • 15 days accrued annually.

  • Once per year in December, you can cash out any accrued life leave time. Every 5 days your cash out is worth about $300.

*Life Leave allows team members to use their holidays as it’s meant to be – a break – whilst knowing they’ve got the breathing space to tap into extra leave for the planned and unplanned life moments.
