Job Description

CORE RESPONSIBILITIES

Data management:

  • Accurately input and maintain resourcing data across internal systems (e.g. Resource Hero, Excel, Outlook etc).
  • Maintain resource records for starters, leavers, movers, and returners.
  • Ensure data consistency across tools and perform basic data checks, flagging discrepancies as needed.
  • Compare and reconcile different data sets to ensure accuracy.
  • Understand project budgets and reflect them correctly in Resource database.
  • Identify and escalate issues when appropriate.

Reporting and insights:

  • Use and quality-check existing reports (in Resource Hero, Power BI and Excel).
  • Assist in preparing basic and ad hoc Excel-based reports and analyses.
  • Present data and insights clearly.

Departmental stakeholder relationships and communication:

  • Attend departmental resource meetings. 
  • Coordinate with team members to clarify unclear or missing information.
  • Communicate ideas clearly and effectively.

Personal effectiveness and ownership:

  • Displays personal organization. 
  • Ensure timely completion of administrative and reporting duties.
  • Open to feedback and proactive in following up on outstanding items.

Qualifications

High school or university graduate, or equivalent work experience. 

Experience desirable but not required in administrative position. 

Desirable Experience:

  • Previous experience in administrative or support roles.
  • Familiarity with data quality checks, file management, and basic reporting.

Soft & Behavioral Skills

  • Positive, flexible, and proactive “can-do” attitude.
  • Strong attention to detail and accuracy, especially in data-related tasks.
  • Reliable and consistent in handling daily responsibilities and deadlines.
  • Comfortable working independently on multiple small tasks.
  • Confident with numbers and organized in checking work quality.
  • Clear communicator, empathetic, and adaptable when working with others.
  • Team player who contributes to shared goals and supports colleagues.
  • Able to work autonomously while staying aligned with the team.

Technical Skills

  • Proficiency in Microsoft Excel and general database use is essential.
  • Comfortable managing tasks, calendars, and communication through Microsoft Outlook and similar tools.
  • Familiarity with internal systems and tools related to data management and reporting (preferred).
  • Strong verbal and written English language skills.
