Job Description:

The Pre-Award Research Liaison provides coordinated, faculty-facing support to facilitate the development, preparation, and submission of competitive grant proposals for Bowie State University. The role serves as the primary point of contact for assigned PIs and academic units, guiding them through internal workflows, sponsor requirements, and proposal timelines. The Liaison manages proposal calendars and tracking systems, conducts targeted funding searches, and prepares key proposal components such as biosketches, current and pending support, and institutional documentation. The position performs preliminary compliance reviews, organizes internal routing, and ensures timely submission in alignment with ORSP and sponsor standards. The Liaison maintains organized pre-award files, updates templates and guidance in Kuali/SharePoint, and upholds high levels of customer service through clear communication and timely responses. This role supports the University’s research growth by improving proposal readiness, accuracy, and efficiency.

Responsibilities
  • Serve as primary contact for faculty/staff regarding pre-award processes, deadlines, and sponsor requirements.

  • Maintain proposal calendars, trackers, internal timelines, and deliverable schedules.

  • Conduct funding opportunity research and summarize eligibility and requirements.

  • Gather, format, and organize proposal documents (biosketches, facilities, current and pending, letters of support).

  • Pre-screen proposals for basic compliance (page limits, margins, required sections).

  • Support internal routing and coordinate with the AOR and compliance staff.

  • Maintain organized pre-award files in Kuali/SharePoint and update templates and guidance.

  • Provide timely status updates and respond to inquiries within two business days.

  • Support database maintenance, data accuracy, and documentation.

  • Perform other duties as assigned.

Minimum Qualifications
  • Bachelor’s degree

  • 1–2 years of experience in research administration, grants management, project management, or grants accounting.

  • Familiarity with federal funding agencies, online databases, and Uniform Guidance (2 CFR 200).

  • Strong organizational skills, accuracy, attention to detail, and multitasking ability.

  • Proficiency in Microsoft Office 365 (Excel, Word).

  • Ability to conduct web-based research and maintain databases.

Preferred Qualifications
  • Experience in an academic or research environment.

  • Experience with Kuali Research or similar eRA platforms.

Conditions of Employment
  • Standard office environment with occasional walking between campus buildings.

  • Position is grant-funded and contingent upon continuation of funding
