About the Role:
As a Recruitment Onboarding Specialist specializing in Pre and Post-Employment Compliance, you will play a critical role in ensuring a smooth and efficient onboarding process for new hires. Your attention to detail and organizational skills will be essential in validating and processing all pre-employment requirements, setting up new hire credentials, and ensuring compliance with company policies. This position is ideal for someone who thrives in a fast-paced environment and is passionate about creating a seamless onboarding experience. This role is critical to ensuring that all new hires feel welcomed and prepared to succeed from day one.
What You'll Do:
- Manage the collection and validation of pre-employment requirements, including proof of government IDs and pre-employment medical examinations (PEME).
- Ensure all critical payroll-related documents are completed, validated, and submitted promptly.
- Oversee UKG (Ultimate Kronos Group) enrollment for new hires, ensuring accurate and timely input of information.
- Create and manage new hire credentials, such as system access, email accounts, and other required logins.
- Ensure all necessary documents are uploaded into the system and meet compliance standards.
- Conduct thorough checks and validation of all submitted documents or requirements to ensure accuracy and completeness.
- Chase new hires to ensure completion of secondary requirements, following up in a timely and professional manner.
- Coordinate with the HR team to track and follow up on pending documents or issues.
- Ensure background checks are completed and classified before the employee's 20th day from their start date.
- Follow up on pre-employment medical examinations (PEME) to ensure the new hire is cleared on their classification.
- Report any failed background checks or PEME results to HR promptly and accurately.
- Report non-compliant new hires to HR in a timely manner for further actions.
- Provide ongoing support to new hires during the onboarding process, answering questions and addressing concerns.
- Assist in scheduling and conducting onboarding sessions, ensuring that new hires are oriented to company policies and culture.
- Collaborate with the IT, Payroll, and Operations teams to ensure a smooth transition for new hires.
What We Expect From You:
- Strong organizational skills with a keen eye for detail.
- Proficiency in HR systems, preferably UKG or similar platforms.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion and professionalism.
- A proactive mindset with the ability to prioritize tasks and meet deadlines.
- Previous experience in HR, recruitment, or onboarding roles is a plus.
- Knowledge of background check processes, government ID requirements, and pre-employment medical examinations is advantageous.
