As the HR Administrator, you will be the primary point of contact for all interview coordination and scheduling across TSP North America, ensuring compliance with Affirmative Action Plans (AAP), Equal Employment Opportunity (EEO) guidelines, and other employment laws. This role is essential in managing the recruitment process, coordinating candidate interviews, and maintaining accurate records in the applicant tracking system (ATS). You will also partner closely with hiring managers, recruiters, and other stakeholders to deliver a seamless and high-quality experience. Key Responsibilities:

1. Interview Coordination:

  • Serve as the primary point person for all interview coordination and scheduling across TSP North America, ensuring a seamless process for both candidates and hiring managers.
  • Coordinate onsite, phone, and virtual interviews for candidates, managing complex scheduling and facilities requirements.
  • Handle candidate travel arrangements where necessary, including booking flights, hotels, and other logistics.
  • Ensure all interviews adhere to AAP, EEO, and other employment law guidelines.

2. Partnership and Collaboration:

  • Build and maintain exceptional partnerships with hiring managers, recruiters, and other HR Team members
  • Facilitate strong communication, prioritizing timely follow-up and follow-through to ensure all recruiting processes run smoothly.
  • Provide exceptional customer service to internal and external stakeholders, delivering high-quality work that enhances the candidate experience.
  • Promote a positive and inclusive work environment through effective communication and support.

3. Data Integrity and System Management:

  • Ensure data integrity by consistently updating candidate records in the applicant tracking system (ATS).
  • Enter relevant interview details, including NDA documentation, into the ATS to maintain accurate records and compliance.

4. Training and Development:

  • Manage the training of people leaders on proper interviewing practices to ensure compliance with AAP and EEO regulations.
  • Provide ongoing support and guidance to hiring managers regarding interview processes and compliance.
  • Track employee training progress and maintain training records.
  • Assist in the development of training materials and resources.

5. HR Compliance:

  • Manage and maintain Affirmative Action Plans (AAP) to ensure the organization complies with federal, state, and local regulations.
  • Collaborate with hiring managers to ensure recruitment and interview practices align with AAP, EEO, and other regulatory guidelines.
  • Ensure compliance with all employment laws and regulations.
  • Prepare and maintain reports related to HR metrics, such as turnover rates, diversity statistics, and AAP compliance.
  • Support HR managers in conducting audits and investigations as needed.

6. Process Improvement and Projects:

  • Drive and participate in ad hoc process improvements and other projects that benefit the broader Coordination team.
  • Proactively identify opportunities to streamline interview processes and improve overall efficiency.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 3 to 5 years of experience in an HR administrative or staffing-related role.
  • Strong organizational and multitasking skills, with the ability to manage complex scheduling and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office suite and HRIS software.
  • Knowledge of employment laws and regulations, including AAP and EEO compliance.
  • Experience in managing Affirmative Action Plans (AAP) and ensuring recruitment processes meet compliance standards.
  • Experience in training people leaders on interview best practices to ensure compliance with AAP, EEO, and other regulations.
  • Experience in coordinating interviews on a large scale across multiple regions, with a strong focus on compliance.
  • Experience with applicant tracking systems (ATS) and ensuring data accuracy.
  • Attention to detail and high level of confidentiality.
