Role DescriptionGivebutter is hiring a Recruiting Specialist to support our growing team and help us deliver a world-class hiring experience. In this role, you’ll be the engine behind the scenes, assisting with sourcing top talent, managing interview scheduling, coordinating communication, and ensuring every candidate has a smooth, thoughtful, and engaging experience from start to finish. You’ll work closely with recruiters, hiring managers, and candidates to keep the process running smoothly and with heart.

Responsibilities
Manage interview scheduling, rescheduling, and follow-up communication for candidates and hiring teams
Partner with recruiters and hiring managers to anticipate scheduling needs and remove process bottlenecks
Maintain accurate and organized candidate data in our ATS (Ashby)
Maintain and improve recruiting coordination documentation to ensure consistency and scalability
Proactively source and engage candidates using platforms like LinkedIn, job boards, and other talent communities
Leverage data and feedback to identify and implement process improvements
Ensure we’re maximizing the use of recruiting tools and systems, including AI enhancements that elevate the interview experience
Support recruiters with administrative tasks such as opening job reqs, managing interview plans, and assisting with onboarding coordination
Collaborate cross-functionally with People Ops to support onboarding efforts
Champion a positive and consistent candidate experience throughout every stage of the recruitment lifecycle
Requirements
2–3 years of recruiting coordination or recruiting operations experience; ideally in a remote environment
Experience with Applicant Tracking Systems (Ashby preferred)
Strong communication and organizational skills with the ability to manage multiple priorities simultaneously
Experience sourcing candidates on LinkedIn and other platforms like Juicebox or tech-specific job boards, and has an understanding of search filters and outreach best practices
Experience with other recruiting platforms, including an understanding of analytics and reporting
Tech-savvy and excited about using tools, automation, and AI to make recruiting more efficient
Passionate about Givebutter’s mission and committed to creating a welcoming, inclusive candidate experience
A Typical Day Might Look Like
Check Ashby for new candidates and interview updates
Send candidate confirmations and reminders for the day’s interviews
Coordinate a last-minute reschedule
Update hiring managers/recruiters on candidate feedback or schedule changes
Source a few potential candidates for a high-priority role
Log metrics or status updates in Ashby for the weekly recruiting sync
Brainstorm with the recruiter about improving the scheduling workflow
Work on special projects like employer branding or candidate experience

Interview Process
Below is a high-level outline of our standard interview process
Recruiter Screen: A 30-minute conversation to learn more about your background, walk through the role, and ensure mutual alignment on expectations, values, and logistics.
Hiring Manager Interview: A deeper dive into your relevant experience, skillset, and working style. This is your first opportunity to connect directly with the person who may be your future manager.
Assessment (technical or non-technical): This stage will vary based on the role. It could involve a live coding session, case study, or take-home project. Some roles may include two parts to this stage to evaluate both practical skills and problem-solving approaches
Values Interview: A conversation with team members focused on how you align with our core values and leadership principles.
References: We connect with a few folks you’ve worked closely with to get a better picture of your working style and impact.
Offer: If all goes well, we’ll move to the offer stage!
