About the role:

We’re seeking an organized, detail-oriented Recruiting Coordinator (6-Month Contractor) to support our fast-paced recruiting team at Nirvana. You will play a key role in ensuring candidates have a seamless, positive experience while working closely with recruiters, hiring managers, and interviewers. What you'll do:
  • Coordinate and schedule interviews by partnering closely with candidates, recruiters, and hiring managers, ensuring an efficient, professional, and seamless interview process.

  • Communicate regularly with candidates to provide updates, interview preparation details, logistics support, and timely follow-ups.

  • Maintain accurate candidate records in our applicant tracking system (Ashby) and create regular recruiting reports for the team and hiring managers.

  • Support recruiting operations, including logistics for interview days (virtual and on-site), managing candidate travel (if needed), and candidate documentation.

  • Act as a candidate experience ambassador, ensuring every touchpoint reflects our cultural values and commitment to inclusivity.

  • Identify opportunities for process improvement and recommend ways to optimize efficiency and candidate engagement.

  • Assist with ad-hoc recruiting projects and employer branding, DEI initiatives, events, and partnerships as needed.

About you:
  • 1-3 years of experience in a recruiting coordinator, talent acquisition support, or HR administrative role, preferably in a fast-paced or high-growth environment.

  • Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously.

  • Excellent written and verbal communication skills with a customer-service mindset; you form positive relationships with candidates, recruiters, and hiring managers.

  • Proficiency in ATS platforms (ideally Ashby or similar), G Suite (Google Calendar, Gmail), and other scheduling or communication tools.

  • Ability to work independently as well as part of a collaborative team.

  • Proactive and adaptable, eager to solve problems and deliver outstanding candidate and hiring team experiences.
