Description
The Recruiting Coordinator is responsible for supporting recruiting, hiring, and onboarding efforts across the organization. This role serves as a key liaison between candidates, hiring managers, Human Resources, and onboarding teams to ensure a smooth and positive candidate experience from application through new hire orientation.
The Recruiting Coordinator will be responsible for interview scheduling, candidate communication, job posting management, offer letter preparation, onboarding administration, and maintaining recruiting systems and records. This position is ideal for an individual who enjoys working in a fast-paced environment, managing multiple priorities, and helping build scalable recruiting processes as the company continues to grow. The ideal candidate will be organized, communicative, and aligned with our passion to MAKE IT HAPPEN.
Responsibilities
- Schedule and coordinate interviews between candidates, hiring managers, and internal stakeholders.
- Communicate with candidates throughout the hiring process, including interview confirmations, follow-ups, and status updates.
- Post and maintain job openings on company career sites, job boards, and recruiting platforms.
- Maintain accurate candidate records within the Applicant Tracking System (ATS).
- Assist with reviewing resumes and screening candidates as needed.
- Prepare, distribute, and track offer letters for selected candidates.
- Coordinate pre-employment requirements, including background checks, drug screens, employment verifications, and other hiring-related processes.
- Assist with onboarding documentation, including I-9s, W-4s, direct deposit forms, policy acknowledgments, and other required paperwork.
- Serve as a primary point of contact for candidates and new hires throughout the onboarding process.
- Partner with hiring managers, Human Resources, and onboarding teams to ensure a seamless hiring and onboarding experience.
- Create and update job descriptions using company-approved formats and templates.
- Support hiring events, job fairs, campus recruiting initiatives, and other talent attraction efforts.
- Coordinate candidate travel and interview logistics when required.
- Maintain recruiting reports, hiring metrics, and applicant data.
- Ensure compliance with company policies and applicable employment laws and regulations throughout the hiring process.
- Support process improvement initiatives designed to enhance recruiting efficiency and candidate experience.
- Assist the HR and Onboarding teams with additional recruiting and administrative projects as needed.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Minimum of 2 years of recruiting coordination or human resources.
- Experience with onboarding and pre-employment processes preferred.
- Experience with Paylocity or similar HRIS systems preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
- Ability to handle confidential information with professionalism and discretion.
Physical Requirements
- Must be able to remain in a stationary position 50% of the time.
- Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer.
- May occasionally lift and move items weighing up to 20 pounds.
- Ability to work in a professional office environment and interact regularly with employees, candidates, and visitors.
