About The Role:

The Recruiting team at Notion helps build a company where people can do their best and most meaningful work. We’re hiring a Recruiting Coordinator in our Tokyo office to partner closely with recruiters and hiring managers, primarily supporting Go‑To‑Market teams. You’ll own high‑volume scheduling, keep processes running smoothly across time zones, and be a trusted point of contact for candidates from first touch through offer. This role is ideal for someone who is detail‑oriented, thrives in a fast‑paced environment, and wants to grow into broader recruiting responsibilities.

What You'll Achieve:
  • Deliver an exceptional, consistent candidate experience while partnering closely with recruiters and hiring managers to refine our interview process.

  • Coordinate and schedule high‑volume interviews across time zones with speed and precision, including onsite and remote panels.

  • Communicate proactively with candidates and interviewers, ensuring logistics, materials, and feedback loops are clear and on time.

  • Troubleshoot day‑of changes and resolve conflicts quickly while maintaining a calm, solutions‑oriented approach.

  • Contribute to process improvements and light sourcing support for high‑priority roles as capacity allows.

  • Help compile and maintain basic recruiting metrics and analytics to track hiring progress and provide insights to the recruiting team.

Skills You'll Need to Bring:
  • 1+ years of coordination experience in a fast‑paced, high‑volume environment, ideally in a recruiting or HR-related role. For non-HR roles, 2–3 years of professional work experience is required.

  • Proven ability to schedule complex interviews across multiple time zones, including onsite panels

  • Excellent written and verbal communication with candidates and interview teams

  • Strong organization, prioritization, and attention to detail

  • Calm, solution‑oriented approach when plans change day‑of

Nice to Haves:
  • Experience with Ashby, LinkedIn Recruiter, and Notion

  • Prior coordination experience supporting go‑to‑market teams

  • Exposure to light sourcing or talent programs process improvement
