Your Role
Gensler is seeking an experienced Administrative Professional to join our Baltimore office. This Receptionist role acts as the Director of First Impressions and will be the face of the organization and those who visit our office. This position is an integral member of the office and Business Operations team. All comings and goings are through this individual. What You Will Do
- Maintain neatness in reception area, break area, conference rooms, pantry, kitchen, and common areas to always be tidy and presentable.
- Answer and direct incoming telephone calls.
- Greeting and welcoming clients and vendors in a professional and courteous manner, ensuring a positive first impression. Notify appropriate staff upon arrival.
- Assist and guide visitors and vendors to meetings.
- Perform proper office opening and closing procedures.
- Collect mail, distribute, and coordinate deliveries.
- Utilize the intranet to access firm information.
- Assist with setting up and breakdown for meetings and special events.
- Able to take on other responsibilities as necessary.
Your Qualifications
- Minimum 4 years of previous experience in a customer service/administrative/front desk reception role in an office environment.
- Ability to interact effectively with all levels of management and clients.
- Advanced proficiency in Microsoft Office.
- Proficiency in Adobe Creative Suite (Photoshop, InDesign, Illustrator, Acrobat) is a plus.
- Strong multi-tasking and organizational skills.
- Demonstrated ability to remain calm and composed in fast paced or high‑traffic situations, while maintaining a friendly and solution‑oriented attitude.
- Ability to work regular business hours (8:30AM - 5:30PM) Monday through Friday.
*The compensation range is $75,000 - $83,000 annually, commensurate with relevant experience. In addition, standard benefits will be offered, and employees will be eligible for bonuses.
